Duties and Responsibilities
  • Receive contract and agent instructions for file to be opened by order entry department.
  • Coordinate, Communicate and process received processing information from real estate agents and buyer's settlement agent.
  • Obtain mortgage and lien/judgment payoffs and order deed from outside law firm requested by seller.
  • Review Deeds and other legal documents for recordability and accuracy (i.e. names are correct and legal descriptions are correct and match title commitment).
  • Verify all title commitment requirements pertaining to seller are provided to buyer's settlement and file same in the appropriate sections of Greenfolders prior to closing.
  • Ensure documentation required by buyer's settlement agent is complete, accurate and all needed items are received prior to closing.
  • Coordinate scheduling of closings (document signing) between all parties (external and internal).
  • Review Consumer Disclosure/ALTA settlement statement provided by buyer's settlement agent and provide seller and seller's agent a copy of same for review prior to closing.
  • Provide final closing figure and instructions for payment of any shortfall.
  • Ensure executed complete closing documents are scanned.
  • Other duties and responsibilities that may rise as assigned by management.

Knowledge and Skills/Technology Used
  • Comprehensive knowledge of settlement, title and legal instruments and terminology relative to all commercial and residential loan programs and instruments conveying title and encumbering title.
  • Comprehensive knowledge of the processing, closing and post closing of single and multi-family homes, town homes, & condominiums. Construction and development loans, and commercial transaction experience a plus, but not required.
  • Ability to identify settlement and title issues in the structure or commercial and residential transactions (sales and financing), as well as additional considerations resulting from the transaction documents.
  • Ability to communicate effectively with agents, customers, management, closers and underwriters (Both verbally and in writing via phone, email and in person)
  • Exceptional organization and time management skills.
  • Ability to perform tasks independently.
  • Ability to analyze recorded documents and determine if they were correctly recorded, prepared, apply to the insured property and comply with the requirements set out on the title commitment and lender instructions.
  • Ability to work as part of a team and independently in a fast paced, dead-line oriented environment.
  • Ability to operate a personal computer proficiently and use Microsoft Office software (Word, Excel, Outlook and Internet Explorer)

Education, Licensure, and Experience
  • High school diploma.
  • (2+) years' in processing, closing or post closing experience.
  • Experience in SoftPro and Greenfolders a plus.
