Job Description:

We are looking for a skilled and motivated Administrative Assistant to join our G&A team, who will perform a variety of tasks as necessary to facilitate the smooth administrative operations of ADARx Pharmaceuticals' business. To do this role properly the Administrative Assistant must be dependable, organized, able to multitask effectively, and enjoy working within a scientific and entrepreneurial environment that is fast-paced, mission-driven and results-driven. The position will be reporting to the company Office & HR Manager.

Essential Responsibilities:

Greet visitors and direct them to appropriate department.

Answer phone calls and respond to administrative requests from clients, vendors and employees.

File and retrieve organizational documents, records, and reports in appropriate electronic shared folders or SharePoint systems.

Maintain a clean and professional front desk area, keeping equipment and supplies neat and orderly.

Sort and distribute incoming letters, packages, and notifications.

Organize and prioritize large volumes of information, daily calls and emails for follow-up.

Organize, manage, and schedule appointments through Outlook.

Create shipping documentation and help to ship and receive deliveries.

Assist in procurement of office and lab supplies and follow up with orders.

Maintain inventory of all office supplies, including basic necessities

Each morning, ensure that common areas (kitchen, break rooms, conference rooms and lobby) are clean, orderly and well stocked for the day.

Assists with office set-up and moves which may involve moving, assembling and arranging furniture.

Prepares facility for meetings and events to include delivery and set-up of food and beverages.

Willingness and ability to learn new computer skills and software.

Other duties as assigned.

Qualifications:
  • This position is not remote, must reside in San Diego region.
  • Associate degree with 2+ years of relevant experience in a professional office environment
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • Ability to organize a daily workload by priorities.
  • Exercises discretion and independent judgment
  • Strong work ethic and interpersonal skills
  • Proficient computer skills using PC Proficiency, Microsoft Office Suite Products, Adobe Pro.
  • Professional level verbal and written communication skills
  • Mobility to perform the essential functions of the position.
  • Cultural sensitivity and respect for diverse colleagues
  • Open to change and receptive to feedback

Compensation:
  • This is a full-time position, Monday-Friday, occasional overtime.
