Job Description:

As a Receptionist within the Workplace team, your role involves managing the main reception area, warmly welcoming and directing visitors, and providing essential administrative support across various aspects of our company's operations. The Workplace team oversees office management, maintenance, food services, travel arrangements, and the coordination of company events and social activities.

Your responsibilities will include:
  • Professionally handling incoming calls, screening them, and directing them appropriately.
  • Greeting guests with professionalism and warmth, ensuring they feel welcome.
  • Opening and closing the reception area daily and maintaining its appearance throughout the day.
  • Managing visitor access through the building security system and maintaining a daily guest list.
  • Liaising with building management for service calls and internal facilities requests.
  • Sorting incoming mail and coordinating messenger services and outgoing mail deliveries.
  • Supporting office activities, events, and various business needs as required.
  • Assisting with office supply orders and maintaining conference rooms.
  • Managing subscriptions to newspapers and periodicals.
  • Updating the team page on the company intranet and maintaining facility manuals.
  • Serving as backup for booking travel arrangements and processing expense reports.
  • Acting as the primary point of contact for facilities-related issues.
  • Assisting in organizing and training for emergency response teams.
  • Aiding in onboarding and offboarding procedures, including desk setups, maintaining photo directories, and coordinating building access.

For this role, we're looking for candidates with:
  • Strong communication skills, both verbal and written, and excellent phone etiquette.
  • Proficiency in MS Outlook, Word, Excel, and PowerPoint.
  • Confidence, initiative, and the ability to adapt quickly.
  • Exceptional customer service skills and strong organizational abilities.
  • The capacity to multitask, prioritize tasks, and take direction from multiple sources.
  • Excellent typing skills and the ability to handle confidential information with discretion.
  • Preferably, previous experience in a corporate office environment and coordinating travel arrangements.
  • Flexibility to work alternative schedules to cover planned absences.
  • A high school diploma or equivalent qualification.
