Provides administrative/office support to the department on site. Maintains and manages documents, scheduling, office organization. Assists in receiving and distributing/communicating updates and communications throughout the department.
Responsibilities:
Answer and direct phone calls in a professional and courteous manner.
Greet and assist visitors to the office.
Maintain construction project files, including contracts, permits, and correspondence.
Coordinate meetings, appointments, and travel arrangements for construction staff.
Prepare and distribute correspondence, memos, and reports.
Assist in the preparation of documents and proposals.
Manage office supplies inventory and place orders as necessary.
Assist in the processing of invoices and expense reports.
Update and maintain electronic and hard copy filing systems.
Assist with the coordination of project schedules.
Liaise with subcontractors, vendors, and clients as needed.
Assist in the organization of construction project documentation and archives.
Ensure compliance with company policies and procedures.
Qualifications:
Associates Degree or bachelors degree preferred.
Proven experience as an administrative assistant, preferably in the construction industry.
Proficiency in MS Office (Word, Excel, Outlook).
Strong organizational skills with the ability to multitask and prioritize tasks effectively.
Excellent verbal and written communication skills.
Attention to detail and accuracy in work.
Ability to work independently with minimal supervision.
Knowledge of construction terminology and processes is a plus.
Ability to maintain confidentiality and exercise discretion when handling sensitive information.
Flexibility to adapt to changing priorities and deadlines.
