Overview:

The ideal candidate will be self-motivated and capable of working independently in a fast-paced, dynamic environment. They will play a vital role in providing administrative and organizational support in this capacity for my client. Collaboration with corporate access specialists and other team assistants is essential. The successful candidate should demonstrate intellectual curiosity, intuition, attention to detail, and integrity. Additionally, they should possess strong communication skills and the ability to interact professionally with various internal and external stakeholders. This individual will excel in managing multiple projects concurrently with exceptional follow-through.

Responsibilities:
  • Coordinate numerous internal and external meetings efficiently.
  • Cultivate relationships with broker sales teams and Investor Relations to streamline meeting scheduling.
  • Manage calendars to identify scheduling conflicts and ensure team coordination for meetings, including travel arrangements.
  • Maintain records of corporate access and broker interactions in a database.
  • Coordinate travel logistics such as flights, accommodations, and ground transportation for the team.
  • Handle expense reports processing for the team.
  • Develop a foundational understanding of the covered sector.
  • Participate in weekly team meetings.
  • Provide executive assistant support and occasional assistance with personal tasks for the portfolio manager.

Requirements:

Skills and Experience:
  • Bachelor's degree required.
  • 3-5 years of administrative assistant experience, preferably within financial services (preferred, but not required).
  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook), and related software.
  • Strong time management skills with the ability to prioritize effectively.
  • Exceptional organizational skills and attention to detail.
  • Demonstrated ownership of tasks.
  • Proactive in addressing details, anticipating issues, and completing requests.
  • Ability to handle confidential information with discretion while collaborating across teams and functions.
  • Mature interpersonal skills, capable of professional interaction with peers and senior management.
  • Team-oriented with the ability to work independently.
  • Proficient problem-solving skills, with a flexible approach.
  • Excellent written and verbal communication skills with proper grammar.
  • Genuine desire to learn and grow within the environment, with a focus on both short and long-term development opportunities.

In accordance with the NYS pay transparency law, the base compensation for this role is $100-115k annually.
