As the Operations Coordinator, you will assist the Lead Clinical Managers in managing the administrative functions that keep our services running smoothly! Make a difference in the lives of children and the staff who support them daily! PART-TIME: 4 weekdays 1pm-7pm and Saturdays 9am-12pm Operations Coordinator Responsibilities: Scheduling:
Maintain accurate schedules for assigned locations
Work with the clinical team to ensure timely session conversion and signatures
Reconcile and audit staff schedules and client hours for accuracy
Reconcile and audit clinic schedule and provide feedback to the supervisor
If coverage is needed, assist or fill in for administrative support
Monitor, track, and communicate cancelation trends with the supervisor to improve treatment provision
Administrative Support:
Office Management:
Manage and organize office activities, including scheduling, correspondence, and data entry
Coordinate meetings, prepare agendas, and ensure timely distribution of materials
Greet and direct visitors
Facility Management:
Oversee the day-to-day operations of the facility, ensuring a safe and efficient working environment
Maintain inventory of supplies and equipment, reorder as necessary, and liaise with vendors
Communication Liaison:
Serve as a central point of contact for internal and external communications
Collaborate with different departments to ensure effective information flow
Process Improvement:
Identify and implement operational improvements to enhance efficiency and productivity
Collaborate with team members to streamline processes and reduce redundancies
Requirements
HS Diploma required; Preferred: Bachelor's degree in a relevant field (e.g., psychology, social work, business administration)
Experience in operations coordination/administration and behavior analysis
Strong organizational, communication, and problem-solving skills
Ability to work collaboratively in a multidisciplinary team
