About the role

We are seeking a versatile and detail-oriented professional to fill the role of Project Accountant & Subcontract Administrator. In this dual role, you will be responsible for overseeing the financial aspects of various projects within the organization while also managing subcontracting processes and relationships with subcontractors. The ideal candidate will possess strong accounting principles, project management skills, and expertise in subcontract administration, along with the ability to collaborate effectively with cross-functional teams.

Main Responsibilities

  • Manage project financials, including budgeting, forecasting, and tracking expenditures.
  • Support subcontracting processes from solicitation of bids to contract award, ensuring compliance with company policies and procedures.
  • Prepare and analyze financial reports for project stakeholders, highlighting variances and providing insights for decision-making.
  • Review subcontractor proposals and negotiate terms and conditions to achieve favorable outcomes for the organization.
  • Coordinate with project managers to ensure accurate allocation of costs and adherence to budgetary constraints.
  • Develop and maintain relationships with subcontractors, fostering a collaborative working environment.
  • Monitor project milestones and billing schedules to ensure timely invoicing and revenue recognition.
  • Ensure subcontractors meet prequalification requirements and obtain necessary documentation (e.g., insurance certificates, certifications).
  • Review subcontractor certified payrolls and internal certified payrolls to ensure compliance with the Inflation Reduction Act, prevailing wage, and apprenticeship requirements.
  • Collaborate with internal departments such as procurement, legal, and finance to streamline processes and resolve financial discrepancies.
  • Monitor subcontractor performance and adherence to contract requirements, addressing any issues or concerns as they arise.
  • Conduct regular audits of project financials and subcontracting activities to ensure compliance with company policies, regulatory requirements, and contract terms.
  • Facilitate the resolution of disputes or conflicts between subcontractors and project teams, maintaining positive relationships and project outcomes.
  • Maintain accurate records and documentation related to project financials and subcontracting activities, including contracts, amendments, and correspondence.
  • Provide financial guidance and support to project teams, optimizing resource allocation and mitigating financial risks.
  • Assist in the evaluation of subcontractor performance and capabilities, providing feedback to inform future subcontracting decisions.
  • Prepare financial statements and reports for external stakeholders such as clients, auditors, and regulatory agencies.
  • Stay updated on industry trends, regulations, and best practices related to project accounting, subcontracting, prevailing wage laws, and apprenticeship requirements.

Minimum Qualifications

  • 3-5 years of similar experience required.
  • Bachelor's degree in Accounting, Finance, Business Administration, Supply Chain Management, or related field.
  • CPA or relevant professional certification preferred.
  • Proven experience in project accounting, financial management, and subcontract administration, preferably in a construction, engineering, or similar industry.
  • Strong negotiation, analytical, and organizational skills.
  • Proficiency in accounting software (e.g., QuickBooks, SAP), contract management software, and Microsoft Office suite.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
  • Detail-oriented with a high degree of accuracy in financial reporting and contract management.
  • Ability to prioritize tasks and manage multiple projects simultaneously.
  • Knowledge of GAAP, contract law, subcontracting regulations, and government contracting requirements.
  • Demonstrated commitment to integrity, ethics, and professionalism in financial management and subcontracting activities.
