Role Summary

The Operations & Business Coordinator provides dedicated support to the Corporate Real Estate and Workplace Services Operations team. Documents key business processes, outlines and manages project timelines, facilitates program and project adherence to appropriate policies and practices. Provides support and completes administrative tasks for a wide array of activities involved in the initiation, planning, and monitoring of projects/programs.

This role will follow a hybrid work model of 3 days/week in the office at our Owings Mills campus with flexibility for 2 days remote.

Responsibilities


  • Performs various administrative tasks for assigned efforts utilizing various tools and following defined guidelines. Assesses workload and organizes projects to meet deadlines.


  • Collects, analyzes, and reports data in support of projects. Analysis is limited to basic/straightforward tasks and is checked by senior members of the team.


  • Uses a basic understanding of function operations to ensure accuracy of analysis and reporting and escalates any issues that may arise. Gains familiarity with company practices relevant to metrics, performance indicators, reporting protocols, etc.


  • Supports recordkeeping and documentation. Processes periodic deliverables as assigned and as documented in client process flows and client team processing calendars. Reviews, reconciles, and maintains process output/reports as necessary.


  • Gathers and reviews data to document processes, timelines, and required resources.


  • Assists in the identification of opportunities for enhancements and implementing business projects.


  • Documents business requirements, provides input into system and process design, provides pre- and post-implementation support. Business process enhancement work may be moderately complex to complex in nature.


  • Compiles and maintains various reports and information to prepare executive presentations. Updates, improves, and iterates information for the operations management.


  • Collaborates with peers across the enterprise to leverage best practices, create efficiencies, and/or mitigate risk via people/process/technology.


  • Serves as the primary point of contact for all contractor related processes to include: on and offboarding.


Basic Qualifications (Education and Experience)


  • Bachelor's degree or the equivalent combination of education and relevant experience AND


  • 4+ years of total relevant work experience


Preferred Qualifications:


  • Strong communication skills both, verbal and written.


  • Advanced level user of Microsoft Office Suite to include, PowerPoint, Excel, Word, SharePoint, etc.


  • Proven ability to work in a busy, dynamic environment


  • Detail orientation, strong organizational skills


  • Experience formatting and editing documents, and creating and updating presentations


  • Project management skills


FINRA Requirements

FINRA licenses are not required and will not be supported for this role.

Work Flexibility

This role is eligible for remote work up to two days a week.
