Job Description:

JOB DUTIES AND RESPONSIBILITIES

The Payroll Analyst will possess strong technical and communication skills, effectively collaborate with internal and external stakeholders, and participate in continuous improvement initiatives related to systems and payroll processing. Responsible for ensuring all aspects of the payroll cycle, including tax, benefits, wage attachments, etc. are processed, reconciled, audited, and transmitted accurately and timely.

  • Process multi-state, multi union weekly, bi-weekly, semi-monthly, and monthly payrolls for over 2000 employees in both the United States and Canada
    • Annual incentive processing for US & Canadian employees associated with respective payrolls.


    • Interprets pay policies, (e.g., vacation, LOA, disability, workers compensation, union contracts, government regulations, withholding exemptions, etc.) and ensures appropriate amounts/deductions are calculated and applied to the various accounts correctly.

    • Answers questions related to exempt employees and pay process when Manager is out.


  • Create custom reports and analyze large amounts of information to support mandatory reporting, day to day and ad hoc business needs
    • Utilizes analytical and problem-solving skills to research issues, perform root cause analysis, and make recommendations for changes


  • Maintain appropriate documentation to substantiate data entry requests

    • Assists with gathering data for internal and external auditing of payroll policies and procedures

  • Document and implement procedures for continual automation of payroll processes
    • Create and maintain process and training documentation


  • Coordination with RPA (Robotic Process Automation) team for optimizations to payroll system for testing, new reporting, reporting enhancements, and troubleshooting issues as they related to the processing of payroll.

  • Handles monthly balance sheet account reconciliations and corrects issues as needed ensuring compliance with Finance

  • Work closely with Management (internal/ external) in planning large-scale projects

KNOWLEDGE AND SKILL REQUIREMENTS

  • Associates Degree in Finance /HR or 3+ years comparable experience

  • Experience using Ultimate Software (UKG) and/or Kronos (Workforce Dimensions) timekeeping, or an HR system similar

  • Must demonstrate strong organizational and time management skills and can prioritize work, with an emphasis on the accuracy and attention to detail coupled with ability to meet weekly deadlines
  • Ability to multi-task and work under various conditions that may include frequent interruptions
  • Ability to handle sensitive and confidential information

  • Must be capable of working and performing independent of direct supervision

  • Knowledgeable in Microsoft Excel and SAP or other financial software

PROFESSIONAL SKILLS AND COMPETENCIES

  • Proven experience as a Payroll Analyst, Payroll Coordinator, or similar role

  • Working knowledge of account reconciliations and general ledger processes

  • Instills trust with others through personal communication style, approachability, professionalism, accuracy and follow-through on commitments and deadlines

  • Deep functional expertise to ensure depth of understanding of state and federal payroll and tax regulations

  • Stay current on state and federal payroll and tax laws for US and Canada

  • Exceptional verbal and written communication skills with a strong sense of employee customer service and uses positive reinforcement in conflict resolution or employee concerns

  • High degree of organizational skills with an eye toward improving processes and methods of work, leveraging automation and technology to simplify and drive consistency
    • Thrives on using technology to automate and optimize tasks to ensure time is spent on more value-added activities


  • Excellent mathematical/analytical skills with the ability to analyze complex data
