Executive Assistant for a Supplement Brand

Location: Remote US Based (Preferably Miami, FL)

Role Summary:

As an Executive Assistant, you will play a crucial role in the smooth operation of KMBC Partners by providing comprehensive support to our executive team. Your duties will extend beyond traditional administrative tasks, as you'll be involved in the heart of our e-commerce operations, from managing inventory and warehouse issues to coordinating with external partners and ensuring seamless internal communication.

Key Responsibilities:

- Email Management: Efficiently manage and respond to emails, ensuring timely communication with customers, partners, and team members.

- Meeting Coordination: Schedule and coordinate meetings, including setting agendas and ensuring all participants are well-informed.

- Accounts Receivable Management: Oversee accounts receivable, ensuring invoices are sent and payments are collected on time.

- Inventory and Warehouse Oversight: Manage inventory levels and address warehouse issues remotely, coordinating with logistics partners to ensure product availability and timely delivery.

- Vendor and Partner Liaison: Act as the primary point of contact for external companies, including customer support and other service providers, to resolve issues and maintain strong relationships.

- Performance Monitoring: Track employee performance and project progress, ensuring tasks are completed efficiently and align with company standards.

- Strategic Planning Support: Assist in the development and implementation of business strategies to enhance operational efficiency and growth.

- Market Research: Conduct research on market trends, competitor activities, and potential opportunities to support business development efforts.

- Event Planning: Organize virtual and in-person events, from team meetings to customer engagement events, enhancing brand visibility and cohesion.

- Personal Executive Calendar Management: Take charge of the executive's personal calendar by planning, scheduling, and coordinating personal appointments, engagements, and travel arrangements. Ensure a balance between professional commitments and personal obligations, demonstrating discretion and confidentiality in handling sensitive information.

Qualifications:

- Proven experience as an Executive Assistant, preferably in an e-commerce or related industry.

- Strong organizational skills with the ability to manage multiple tasks and priorities effectively.

- Excellent communication skills, both written and verbal, with a keen eye for detail.

- Proficiency in office and project management tools (e.g., Microsoft Office Suite, Google Workspace, project management software).

- Experience in inventory management and logistics coordination.

- Ability to work independently and hit the ground running in a remote work environment.

- A problem-solving mindset with a proactive approach to overcoming challenges.

- Bachelor's degree in business administration, management, or a related field is preferred.
