Compensation: Depending on experience level

Location: Miami Beach, on-site 5 days a week. Generally work hours are ~8:30am -5:30 pm, 5 days a week.

Job Description:

NYC/Miami based Hedge Fund is seeking an outstanding candidate to primarily serve as an Admin to the Miami-based Portfolio Manager and a supporting role to Miami and NYC-based teams. Responsibilities will include scheduling, logistics and travel planning, expense tracking, and research content organization for multiple team members. The ideal candidate must be a resourceful problem-solver and keen to assist in improving upon processes in place in order to make the team more functional, streamlined, and efficient. The candidate will be expected to interact with counterparties such as investment banks and conference representatives.

Responsibilities:

  • Support Analysts, Portfolio Managers, and other executives of a long/short equity hedge fund
  • Arrange meetings with companies and create and manage conference schedule
  • Review broker emails for conferences
  • Coordinate investor information flows
  • Track quarterly earnings calls, sell side interactions, corporate access meetings, call data, and conference spreadsheets
  • Collect and organize research reports, models, and company quarterly and annual reports
  • Book travel arrangements including flight, hotel, and ground transportation for team
  • Process expense reports
  • Coordinate internal/external meetings and company calls
  • Phone coverage and calendar management for research team
  • Setting up wire transfers to meet capital calls
  • Open/delegate company mail
  • Assistance with equipment ordering & inventory management
  • Preparation and payment of fund and company invoices
  • Organization of company digital files
  • CRM management
  • Administrative functions
  • Ad hoc projects as requested
  • Personal projects- including travel arrangements, reservations, payment of personal expenses
