Administrative Assistant needed for small office located in The Woodlands, Texas
The role of the Administrative Assistant is to provide administrative support to the team Main Job Responsibilities: Provide high-level administrative support to the Director and other staff members. Type and design general correspondences, memos, tables, graphs, meeting minutes etc. Drafting, Proofreading, and finalizing correspondence Prepare new business forms and engagement letters. Schedule calls/meetings and maintain and update calendars and agendas. Arranging travel plans (flights, hotels, etc). Prepare expense reports. Answering incoming phone calls; provide/receive information concerning matters of the firm. Welcomes and directs visitors and clients. Track client deliverables and route workflows when appropriate. Run monthly billing reports and various department reports. Save documents and forms to the document managing system. Sort and scan incoming mail. Prepare outbound mail and packages for delivery. Prepare for meetings and conferences including food/beverage and AV requirements. Performing clerical duties as required (printing/scanning/copying documents, etc). Establish and maintain confidential files. Perform other ad hoc duties as required. Qualifications High School diploma, general education degree (GED) or equivalent education. Associates degree preferred. 3 years minimum experience in administrative role for high level management. Bilingual- Spanish preferred Required- International travel experience
