The Executive Assistant will work closely with the CEO. The Executive Assistant to the CEO will draft documents on behalf of the Executive office, as well as assist in editing organizational documents that require Executive approval. This position may require traveling with the CEO. Responsibilities may include making travel and meeting arrangements, preparing reports and financial data and client relations. Also calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Specific duties and responsibilities include, but are not limited to, the following:
Professionally interface, assist and represent the CEO both internally and externally.
Draft Executive correspondence as needed to include emails, thank-you letters and general correspondence.
Assist with editing internal organizational documents that require approval by the CEO to include coordinating edits with officers, department heads and other senior staff.
Manage the CEO's email inbox and email folders.
Maintain knowledge of and management of CEO's calendar.
Manage the CEO's contacts to include entering business cards and pertinent information into the contact management system.
Work with the CEO to determine which key persons the CEO should contact regularly and on what schedule.
Travel with the CEO, as needed, to include staffing at events and meetings and assisting with logistics that may include running personal errands.
Develop and maintain professional working relationships with the senior staff of the organization.
Manage and submit CEO's monthly company expenses, if applicable or desired.
Manage and coordinate CEO's computer and devices with internal Hussey Gay Bell staff.
Other duties as assigned.
Desired Skills and Experience
Bachelor's degree preferred
3-4 years of experience working as an administration assistant, preferably to C-suite
Advanced experience in Microsoft Office Suite and PowerPoint and an aptitude for technology
Demonstrated proficiency in Excel; ability to build and manage complex financial data spreadsheets
Excellent verbal and written communication skills
Demonstrated good judgment and sense of diplomacy
Outstanding interpersonal skills, telephone manner and client service skills
Strong organizational skills with a proven ability to follow-through
Exceptional attention to detail
Ability to manage multiple job demands and prioritize with minimal supervision
