Ferguson Braswell Fraser Kubasta, PC, is looking for an individual with outstanding customer service and interpersonal skills to join our team in our Costa Mesa, California office. This position requires that the successful applicant be able to perform the following duties:
Front Desk Duties
Opens the office at 8:30 am. May be called in early to assist with meetings that begin at or before 8:30 am.
In the morning, sees that the Keurig machines and mini-refrigerator in the lobby is stocked. Maintains kitchen, lobby and conference room cleanliness, including gathering dishes and running and emptying dishwasher.
Answers the phone and forwards calls or messages to firm employees.
Assigns conference rooms to firm employees at their request. Maintains conference room calendar.
Welcomes visitors to the office.
Prepares conference rooms for meetings and cleans up after the meetings have concluded.
Accepts package deliveries and notifies employees when they have received a delivery.
Mail duties:
Collects the mail from the mailroom and distributes it to office employees.
Takes the mail to the mail room.
Assists Legal Assistants
Enters attorney time into the billing system
Processes reimbursements for attorneys
Assists Executive Assistant
Administrative tasks as time permits
Orders food for company events and for local networking events.
Assists with coordinating and implementing local networking events, including making reservations, as necessary.
Supplies
Orders supplies for the break rooms. Receives delivery of those supplies and puts them away.
Orders office supplies for the firm. Receives delivery of those supplies and puts them away.
The successful candidate will have a minimum of 2 years experience working in an office environment. Further, the candidate must be able to able to open our Costa Mesa, California office promptly at 8:30 am Monday through Friday. Although this position is a 40 hour scheduled position, the candidate must be flexible to come in earlier or stay later as is needed. This is a non-exempt position and the firm will comply with the Fair Labor Standards Act's requirements and California employment laws regarding overtime pay.
