The Estimator plays a crucial role in supporting the efficient and professional operation of the company's Preconstruction, Project, and Executive Teams. Reporting to the Estimating Lead or other assigned supervisor, the Estimating Coordinator performs a range of administrative and estimating duties for one or more projects. This position requires a high level of organization, attention to detail, and effective communication skills.
Key Responsibilities:
1. Provide High-Level Support:
- Support Preconstruction, Project, and Executive Teams with administrative tasks.
- Organize, communicate, and administer tasks to ensure smooth project operations.
2. Project Document Review:
- Assist in reviewing project plans, specifications, and related documents to understand project scope and requirements.
3. Scope of Work Creation:
- Create Scope of Work documents for each division to be used in Bid Packages.
4. Bid Package Creation:
- Assist in creating Bid Packages using Procore.
5. Quantity Takeoffs and Collaboration:
- Collaborate with the estimating team to perform quantity takeoffs for materials, labor, and equipment.
6. Vendor/Subcontractor Database Management:
- Maintain and regularly update a database of vendor/subcontractors using Procore.
7. RFI Management:
- Communicate with suppliers and subcontractors to obtain RFIs for Requests for Proposal.
- Manage all RFIs in the Bidding stage and distribute responses to Bidders.
8. Procore Bidding Tool Management:
- Manage the Procore Bidding tool, keeping Bid Documents up to date and tracking statuses.
9. Cost-saving Opportunities:
- Assist in identifying time and/or cost-saving opportunities without compromising quality.
10. Proposal Review and Preparation:
- Create hardcopy books of annotated, vetted subcontractor proposals in CSI division order.
- Collaborate with the estimating team to review subcontractor proposals for accuracy and completeness.
11. Estimate Deliverables:
- Contribute to the preparation of detailed and competitive project estimates and presentation books within specified timelines.
- Assist in creating client deliverables such as qualifications, analysis sheets, and snapshot summaries.
12. Preconstruction to Construction Handoff:
- Collaborate with the project team during Preconstruction to Construction handoff to ensure seamless procurement and project start.
13. Subcontractor Communication:
- Provide regular project and status updates to subcontractors once proposals are issued.
14. Supply Chain Investigation:
- Investigate lead times, future price increases, and supply status for critical path products and materials.
15. Database Maintenance:
- Update and maintain the estimating database with current pricing and relevant project information.
16. Cost Data Review:
- Regularly review and update historical cost data for future reference.
17. Industry Awareness:
- Stay abreast of industry trends, construction methodologies, and material pricing.
18. Documentation Management:
- Establish and maintain both electronic and hardcopy files, including all project-related correspondence.
19. Client and Team Service:
- Provide excellent service levels to clients and team members, both internal and external.
20. Other Duties/Special Projects:
- Undertake additional duties and special projects as needed.
Qualifications:
- Bachelor's degree in Construction Management, Engineering, or related field (preferred).
- Proven experience in construction estimating and coordination.
- Proficiency in Procore and other relevant software.
- Strong organizational, communication, and interpersonal skills.
