Overview

As a Deductions Analyst, you will play a crucial role in managing freight bills reconciliation & disputes, customer payment deductions and claims process with our key customers, ensuring accuracy, efficiency, and timely resolution. You will be responsible for handling sales intake calls, processing claims/deductions, conducting audits, and providing reporting and analytics to improve processes and mitigate future risks. Additionally, you will serve as the main point of contact internally, coordinating efforts between various departments to resolve penalties, disputes and payment deductions effectively.

Essential Duties & Responsibilities:

Sales Intake and Project Management:
  • Participate in larger key accounts calls, completing intake information.
  • Assist with project management for new customer rollouts, ensuring timelines & adherence for success.
  • Collaborate with stakeholders to determine customer needs on shipping requirements, customer-facing portals, fines, deductions, and rebuttal processes.

Audit and Process Development:
  • Develop and implement an audit process for all customer accounts on a monthly basis.
  • Conduct audits on current vendors to form efficient processes.
  • Ensure all key account orders are processed accurately and timely.

Processing Claims/Deductions:
  • Utilize portals for each account to review, dispute and track any claims or discrepancies.
  • Review customer information from accounting to address pricing issues, short shipments, cancellations, etc.
  • Handle protocols to resolve open claims with the main objective of removing charges or obtaining payment.

Reporting and Analytics:
  • Compile data from the claims process to identify trends and root causes.
  • Develop processes to minimize future exposure and streamline the claim process.
  • Generate reporting to automate information in ERP and portals and suggest action plans.

Additional Responsibilities:
  • Monitor and reconcile outbound freight charge bills, disputing where necessary, and implementing corrective actions.
  • File LTL claims and track carrier issues to support the Customer Support team.
  • Collaborate with the accounting team on retailer payment deductions, penalties, and claims.
  • Provide deduction trend reports and take action to improve deduction resolution cycles and reduce outstanding balances. Handle ad hoc projects to reduce incoming deductions and enable root cause analysis.

  • Team Collaboration: Work well with cross-functional teams, including Operations, Finance, and Sales, to resolve issues and improve processes.
  • Customer Service: Address customer inquiries and concerns with a customer-centric approach.
  • Technical Proficiency: Familiarity with relevant software and tools used for financial analysis and deduction resolution. (Microsoft Office, Customer Portals, ERP/WMS)
  • Education: A bachelor's degree in Finance, Accounting, Business, or a related field is typically required. Some positions may require additional certifications or a master's degree.
  • Experience: 3 years or more of experience in a similar role, preferably in finance or accounting.

Physical Requirements:
