ROLE OVERVIEW

As an Executive Assistant, you will play a crucial role in ensuring the smooth and efficient operation of the executive office. You will be responsible for managing the Chief Brand Officer (CBO)'s schedule, coordinating executive communications, and handling various administrative tasks. The ideal candidate is proactive, detail-oriented, and possesses strong organizational and communication skills.

RESPONSIBILITIES:

Calendar Management:
  • Efficiently manage and coordinate the CBO's calendar, appointments, and prioritize meetings and commitments.
  • Ensure optimal utilization of the CBO's time, aligning meetings with strategic goals.
  • Focus on maintaining the CBO's productivity and adherence to schedule.
  • Adapt and handle unexpected tasks and changes in the CBO's schedule or priorities.

Travel Arrangements:
  • Coordinate travel arrangements, including booking flights, hotels, and ground transportation.
  • Develop detailed itineraries for the CBO's business trips.
  • Ensure seamless travel logistics that align with the CBO's preferences.

Meeting Preparation:
  • Prepare the CBO for meetings, ensuring availability of necessary materials and information.
  • Prepare agendas for meetings attended by the CBO, take meeting minutes, and follow up on action items when required.
  • Screen and filter incoming requests, inquiries, and visitors, managing access to the CBO for efficient use of time.

PR Relations:
  • Manage the CBO's public appearances and engagements, ensuring alignment with the organization's image.
  • Cultivate and maintain relationships with key stakeholders, partners, and media contacts.

Other Responsibilities:
  • Assist with personal arrangements for the CBO, including reservations and personal appointments.
  • Organize and maintain the CBO's office, documents, files, and records.
  • Uphold a high level of professionalism, discretion, and diplomacy in all interactions, positively representing the CBO and the organization.

REQUIREMENTS:
  • Proven experience as an executive assistant, preferably supporting C-suite executives.
  • Proficiency in using office software, calendar tools, and other technology platforms to streamline tasks and improve productivity.
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and the ability to maintain confidentiality.
  • Flexibility to work extended hours and weekends as needed.
  • Possession of a valid driver's license and a commitment to maintaining a clean driving record.
  • Willingness to travel with the CBO as required.
