Our client, a well known Fashion Brand, is looking for a highly experienced, dynamic Executive Assistant to join their team!
This role will be supporting a high level C Suite Executive. Please note- This role will require 35-50% travel and MUST be available whenever needed!!!!
Location-Hybrid in Beverly Hills
Salary-Up to $125K DOE
What You Will Do:
Manage and coordinate the executive's complex calendar, including arranging meetings, appointments, and conference calls across multiple time zones
Prioritize and organize commitments, ensuring the executive's schedule is optimized and all deadlines are tracked and met
Coordinate extensive travel arrangements, itineraries, and accommodations for both domestic and international trips
Act as a gatekeeper, effectively screening and managing incoming meeting requests, calls, emails, and correspondence
Draft and prepare various written materials on behalf of the Executive, including emails, with a keen attention to detail
Maintain a high level of confidentiality when handling sensitive information and communications
Prepare and distribute daily briefing materials, meeting agendas, and supporting documents for internal and external meetings
Coordinate logistics for meetings, conferences, and special events, including venue selection, catering, audiovisual requirements, and travel arrangements
Provide support during meetings, take accurate minutes, and follow up on action items as needed
Assist in project management activities, including creating and managing project plans, tracking milestones, and monitoring progress
Collaborate with cross-functional teams, ensuring effective communication and coordination throughout the project lifecycle
Support the executive in prioritizing and delegating tasks to meet project deadlines
Build and maintain strong relationships with internal and external stakeholders, including senior executives, clients, and partners
Serve as a liaison between the executive and various departments, facilitating efficient communication and coordination
Manage and organize contact lists, ensuring accurate and up-to-date information
Who You Are:
Bachelor's degree preferred
5 to 7 years of experience as an executive assistant supporting C-level executives or senior global executives
Agency experience supporting a high-volume desk preferred
Excellent organizational and time-management skills, with the ability to prioritize and multitask effectively
Strong verbal and written communication skills, including exceptional editing and proofreading abilities
Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software and tools
Experience in project management, with a solid understanding of project management principles
Experience in working with external vendors, from contract to payment stage
High level of discretion and confidentiality when handling sensitive information
Proactive mindset, with the ability to anticipate needs and take initiative
Exceptional attention to detail and accuracy
Flexibility to adapt to changing priorities and work under pressure
Professional demeanor and the ability to maintain composure in high-pressure situations
