The Project Coordinator supports and aids senior project personnel in managing project activities. Handles the administrative tasks of the project including maintaining project management documents, liaising with clients, and administering project management software. Analyzes the objectives of the project and determines project requirements. Assures that resources are available for the project team including documentation, supplies, and subcontractors. Coordinates the project schedule, monitors deadlines, and writes status reports. Oversees and delegates project tasks. Contributes to establishing and controlling the project budget. Audits project processes and identifies and addresses problems and risks that may be encountered. Enables communication between the project stakeholders and facilitates meetings. Researches and submits bid proposals and permit applications.
- Update and Track project cost data into project tracking systems.
- To manage & provide update to project portfolio.
- Providing support with office related tasks for the Management team as needed.
- Follow up with accounting Dept or Vendor for any missing or delayed invoices.
- Providing support to the Manager with managing data for multiple projects.
- Helping management make important decisions based on costs and benefits.
- Providing support to the Site Project Managers and Team Leads.
- Expediting of deliverables by deadline, tracking receipt, Invoices, progress of deliverables, and proper filing in company repository.
- Gathering and analyzing financial data and investigating variances with actual cost.
- Preparing detailed reports periodically.
- Tracking financial processes and transactions and monitoring spending.
- Tracking costs of material, labor, and inventory.
- Assisting with organizing vendor Invoices in the data log as needed.
- Suggesting cost-reducing or profitable solutions.
- Supporting the project staff by facilitating project coordination such as reporting on analytics, arranging meetings.
- Provide assistance & intersite co-ordination on Cross application time sheets (CATS) with project managers.
- Provide assistance to create Requisition, material & service receipt notes etc. in SAP system
Requirements:
- 3 years experience with Project Coordination or a similar role.
- 3 years of experience with budgeting, scheduling, tracking, monitoring, and reporting within projects or programs.
- Familiarity with basic project management practices, methods, and techniques.
- Previous experience working in the manufacturing or chemical Industry.
