Responsibilities:
Become proficient in supporting housing needs and serving as the primary contact for the Annual Meetings and Conferences.
Coordinate and flawlessly execute all aspects of food and beverage arrangements for committee meetings, collaborating with internal departments and vendors.
Provide comprehensive logistical and on-site support for the Annual Meeting, Conference, and various small-scale meetings.
Contribute to the planning of Annual Meetings, conferences, and special events, including the coordination of in-house receptions.
Offer logistical support for offsite association events and headquarters meetings.
Efficiently handle the processing of department invoices and provide valuable switchboard backup support.
Collaborate closely with the Senior Meetings Manager and other Meetings staff to ensure the success of all events.
Assist in data entry for annual processes related to Meetings and signs.
Support the planning and execution of online virtual events and meetings.
Utilize the Cadmium CD meeting management system for handling logistics, specifications, and generating reports.
Conduct site searches, create RFPs, and analyze bids for committee meetings and education programs.
Assist in the management of contracts for logistical services related to Advanced Education and Practice Management educational programs.
Develop detailed meeting function sheets, coordinate logistics, and curate menus for designated meetings and special events.
Provide technical support to the Board of Trustees and attendees during hybrid and virtual meetings.
Requirements:
Bachelor's Degree or a minimum of 3 years experience in meeting/event planning.
Experience working with a professional association in a meeting specialist/planning role.
Strong project and time management skills.
Proficiency in Microsoft Outlook, Word, Excel, Teams, Adobe PDF, and Zoom.
Proficient in internet navigation.
Ability to handle multiple concurrent projects.
Adaptable and customer service-oriented.
Excellent verbal and written communication skills.
Experience with Cadmium is a plus.
