Job Description:

ExecuSource has partnered with a reputable manufacturing company in Pasadena, TX in search for an Administrative Assistant. The role is 100% onsite in Pasadena and is a permanent, full-time position. This role includes heavy administrative duties working within the legal department, assisting the General Legal Counsel with projects, tracking deadlines, filing, and scheduling meetings. Recent administrative assistant experience is required. A degree is preferred, but not a hard requirement. They will consider candidates with experience in lieu of degree.

What you get to do:
  • Aid the Legal Department in managing daily and monthly tasks by organizing, monitoring, and following up with project managers.
  • Assist in handling assignments, including conducting intake interviews, collecting information, liaising with relevant departments, filing, organizing supporting documents, and maintaining records.
  • Support the management of Intellectual Property (IP) projects and upkeep of the IP portfolio, involving tasks such as document review and summarization, template creation, coordinating information exchange with Research & Development (R&D) personnel and others, filing, organizing documents, and retrieving information from relevant websites.
  • Execute administrative functions for the Legal Department, encompassing managing invoices, scheduling meetings, tracking deadlines, handling mail, and maintaining document files.
  • Collaborate with various departments within the organization, such as R&D, Accounting, IT, Purchasing, Maintenance, HR, QC Laboratory, QA, Operating Departments, Technical, Marketing, and Sales.
  • Interface with external parties like outside counsel, vendors, and consultants.

What you need to succeed:
  • 3-5 years experience within administrative role, preferably in legal office setting but not required
  • Associates/Bachelors strong preference, not required with experience
  • Intermediate MS office (Word, Excel, Power Point, Outlook) technical skills
