Job Description:

As a Project and Strategy Administrator on the Enterprise PMO(EPMO) team, you will manage the corporate strategic planning process and provide administrative support to all responsible teams. You will establish processes to efficiently produce high-quality deliverables in the established timeframes. You will also ensure the effective delivery of plan documents, materials, and activities.

Essential Job Functions

  • Through the use of discretion and independent judgment, facilitate production of the corporate strategic plan.
  • Manage all aspects of the creation of strategic plan artifacts by developing and maintaining the planning templates, content, and materials needed to produce, refresh and maintain short term and long range strategic plan documents.
  • Manage the execution of the process to gather and refine plan inputs, including capturing, analyzing and consolidating SWOT feedback.
  • Perform research and analysis and provide reporting on internal and external trends connected to identified SWOT items, to aid in the in the development of the overall plan objectives.
  • Plan, schedule and support the facilitation of meetings and activities required to develop and refresh strategic plans.
  • Prepare and distribute agendas and minutes for strategic planning meetings.
  • Support the corporate executive team in producing content for plan documents as well as producing content for progress updates to the executive team and organization.
  • Manage the production of regular reports to the executive committee on plan progress and achievements.
  • Develop and execute methods for cascading and communicating plans and tactics to the broader internal organization.
  • Use discretion at all times and make appropriate judgments to protect confidential aspects of the plan.
  • Organize the events required to develop plan inputs and disseminate the finalized plan; including working with the Corporate Events team to schedule venue(s) and make arrangements; and scheduling and coordinating with presenters to prepare presentation materials.
  • Provide execution support to corporate strategic initiatives to ensure effective completion of objectives.
  • Support the development of functional strategic plans.
  • Facilitate the development of the IT strategic plan.
  • Provide support to functional leaders to ensure effective program execution.
  • Provide support to IT portfolio management activities, including ensuring that projects and activities identified in the strategic plan are mapped correctly to the IT portfolio.
  • Use discretion and make appropriate judgments when communicating with stakeholders.
  • Prepare frequent, complete, and timely status updates to the Director of Program Management and the executive team, as required.
  • Propose solutions to problems and consider the timeliness, effectiveness, and practicality in addressing the executive team's needs.

Skills/Education/Knowledge/Experience/Abilities

Required:

  • Bachelor's degree or equivalent.
  • At least 5 years experience in a similar role (within a large professional corporate environment).
  • Excellent organizational skills with acute attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to communicate clearly, efficiently, and effectively with executive leadership.
  • Superior interpersonal, collaboration, negotiation, and influencing skills.
  • Ability to multi-task, prioritize, solve problems, and effectively manage time.
  • Must work well under pressure and tight deadlines.
  • Must have a high level of professionalism and discretion.
  • Strong project management skills.
  • Knowledge of information technology concepts and practices.
  • Advanced Microsoft Office skills (Word, Power Point, Excel, Outlook).
  • Ability to work with office equipment including computer, copier, fax, etc.
