A fast-growing facility management support company is seeking an Executive Assistant to directly support the CEO. The ideal candidate is organized, proactive, and process oriented. This role will create a positive impression of the organization with internal team members and external partners.

Responsibilities:
Responsible for heavy scheduling and high-volume complex calendar management
Coordinate travel arrangements (domestic) including flights, hotels, meals, car service, and itineraries
Prepare and submit expense reports in an accurate and timely manner
Thorough and strategic contact management
Communicate effectively across teams and with external partners
Greet and direct visitors, set up/break down conference rooms for meetings, and ensure a positive experience for all office guests
Design, communicate, and oversee the implementation of operations, policies, and procedures
Provide event support and planning as needed, including retreats, meetings, staff events - logistical research and planning, day-of support, and invoice/billing management.
Provide personal assistant support as needed; less than 20% of role.
Requirements:
5+ years of executive administrative support experience
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Familiarity with CRM and CMS tools is strongly preferred.
Extensive experience with travel planning, calendar management, expense reporting, and event planning
Comfortable attending networking events and interacting with customers
Have the ability to multitask, process emails, and prioritize tasks in a timely fashion with little-to-no supervision.
