Job Summary
The Residence Life Assignments Coordinator is responsible for maintaining the housing information system (Mercury) including the student housing portal, completing room and meal plan assignments, maintaining occupancy, oversee financial / billing processes, housing applications, and student profile reports, and providing positive customer service to students, parents, and other stakeholders.
Responsibilities
Process and System Management
Responsible for monitoring the housing and meal plan management software (Mercury).; Maintain electronic housing and meal plan application templates.; Complete room and meal plan allocations for approximately 1400 residential students.; Maintain student housing portal to ensure information is accurate and up to date.; Verifies that parental cosigners have accurately completed the housing contract for students under the age of 18 years old.; Maintain accurate real time roster of all residential students.; Maintain accurate historical data regarding housing applications, occupancy, and cancellations.; Create and maintain housing assignment wait lists.; Coordinate room selection process for new and returning residents, assuring students only have access to designated buildings based on student classification and availability.; Manage student assignments for existing MOU partnership with Columbus Technical College. Be familiar with, and provide feedback for, the MOU.; Coordinate manual assignments for Resident Assistants, Assistant Community Coordinators, and Residence Life Graduate Assistants for Student Conduct.; Ensure smooth, efficient processes for residents, including room changes, contract cancellations, double-as-private offers, and other assignments-related processes.; Oversee early arrival and late checkout request processes.; Coordinate the semester transition processes and manage all assignments changes in that transition.; Manage and maintain room readiness process for end of semester turns.; Maintain and monitor the department's roommate matching web-based platform.; Chair the Housing Appeals Committee throughout the academic calendar.
Collaboration and Communication:
Serve as a liaison to Dining Services to audit meal plan lists throughout each term.; Act as a liaison to University Institutional Technology Services and the Mercury residential management service system regarding relational databases and troubleshooting. Monitor financial, room assignment, and student profile Banner interfaces to ensure data integrity.; Identifies and communicates with students who fall under the First Year Live-On Requirement.; Communicate to current and future residents on important dates and processes including application availability, room selection, room change request, and meal change request.; Collaborate with the Assistant Director for Community Development in managing assignments for current, and future developed, Living Experience Communities (LEC) and special programs.; Coordinate with various campus partners to reserve and manage assignments for current and future semesters for Honors College, Athletics Department, English Learning Institute, Center for Global Engagement with international students, and other campus departments.; Oversee the Department of Residence Life housing email and respond timely manner. Problem solve and attempt to resolve questions and concerns and refer individuals to other appropriate personnel as needed.; Submit and coordinate with campus partners on all student work order requests.
Billing / Financial Management:
Ensures all housing contracts are completed and all terms of agreement are upheld.; Follow all procedures for posting and adjusting billing transactions, including room assignments, meal plans, upgrades, room changes, and cancellations.; Coordinate with Student Financial Services, the Bursars Office, and Financial Aid to resolve unpaid student accounts.; Process early contract terminations including procuring proper documentation and following terms of the housing contract for proper adjustment of rent and cancellation fees.
Accommodations:
Work directly with the Center for Accommodations and Access to manage assignments that meet accommodations as recommended.; Compile and maintain a list of rooms with accommodations, including students with approved emotional support animals, within the room management system and share with appropriate staff.; Ensure documents for all approved Emotional Support Animals are completed and up to date.
Other:
Complete special projects as assigned by Director of Residence Life, the Assistant Director of Residence Life Operations, and/or Assistant Director of Residence Life - Community Development.; Lead and collaborate aspects of both the RiverPark and Main Campus Move-In Day events.; In conjunction with the Office of Admissions, coordinate Discovery Day Events as well as tour apartments for each housing area.; Stay current with housing trends to assist with meeting long-term and short-term occupancy and retention goals.; Actively participates as a member of the team while performing tasks in support of the department's mission and within the scope of this position.; Serve on other assigned departmental and university committees and task forces.
Required Qualifications
Bachelor's Degree required and/ or 1-2 years of experience in Residence Life or a related field.
Preferred Qualifications
Knowledge and/or experience working in a room management software system.
Proposed Salary
The annualized salary for this position is $40,568 and includes full benefits. This is a full-time (40 hours per week) position.

Familiarity and experience with the university housing setting; Excellent interpersonal, verbal, written, and organizational skills; ability to multi-task successfully; Demonstrated ability to develop productive relationships with community representatives, area employers, and non-profit and professional organizations; Possess a working knowledge of Microsoft Suite programs.
