The Assistant Director of Stewardship and Scholarships provides direction for the management and awarding of University, donor-funded scholarships utilizing Blackbaud Award Management Software (BAM). This includes managerial oversight of BAM and the scholarship award process. This position will be the primary resource for scholarship related questions from gift officers, campus partners, students, and donors. The Assistant Director will assist with the creation of annual reports for restricted and endowed scholarship fund donors. The position will create and manage necessary auditing processes to ensure the appropriate and on-time awarding of donor-funded scholarships and fund data integrity.
The Assistant Director will work in close collaboration with the Associate Director of Stewardship & Reporting to ensure accurate scholarship data reporting and annual process review and streamlining, Similarly, this position will work in collaboration with the Assistant Director of Endowment Services to track, manage and execute fund activation and utilization for donor-funded endowments and restricted funds.

The Assistant Director will serve as the primary point person between University Advancement and the Office of Financial Assistance to ensure timely awarding of donor funded scholarships and will be a partner to scholarship awarding units and programs across campus. The Assistant Director assists University Advancement to ensure that all scholarship selection criteria are appropriate and nondiscriminatory.

Duties and Responsibilities:
  • Manage the scholarship award/reporting process utilizing BAM. Work closely with the Office of Financial Assistance, Admissions, and other campus units to ensure timely awarding of scholarships, and directly communicate with current students to ensure receipt of required scholarship recipient materials and assist with scholarship fund reporting.
  • Administration and Oversight of Blackbaud Award Management – ensure BAM is optimally configured to support efficient scholarship awarding and collection of student information. Interface with University IT to troubleshoot and update data integration with Banner. Maintain internal user manual and road map for improvements, including exploring BAM’s use to improve scholarship awarding and donor reporting.
  • Act as a trusted resource for gift officers, UA and campus partners, students, and donors. Provide guidance on the creation of new endowed scholarships including the selection criteria and provide transparency for scholarship recipients and fund information for gift officers and campus partners upon request.
  • Collaborate with and assist the areas of Stewardship Reporting and Endowment Services to improve shared processes, increase transparency and accessibility, and ensure data integrity and management through regular auditing.
  • Provide supervision to the Scholarship Associate, Stewardship and guide the dissemination, tracking, collecting, managing, and editing of student communications surrounding the awarding and acceptance of donor funded scholarships, student gratitude questionnaires and student/donor engagement including attendance at scholarship events.
  • Assist in all phases of donor recognition programs/events, with emphasis on the annual Endowed Scholarship Dinner.
Minimum Qualifications:
  • Bachelor’s degree required.
  • 3-5 years of experience in higher education.
  • Ability to effectively communicate professionally with college students, university leadership, frontline fundraisers, key staff across campus and donors.
  • Ability to work in a fast-paced environment while producing accurate results. Candidate should have exceptional organizational skills sufficient to prioritize and complete assignments and projects independently, balancing competing needs and attending to detail.
  • A problem-solver with a proven ability to work with a high level of independence, prioritize assignments and departmental needs, make decisions and to meet deadlines.
  • Ability to manage staff and support growth and professional development. Candidate should exhibit a curiosity for streamlining processes using technology to improve outcomes and accuracy.
  • Proficient in Microsoft Office.
  • Experience in working with relational databases with an understanding of advancement industry system applications is crucial, especially Blackbaud Award Management, Banner, Cognos and/or Salesforce.
Preferred Qualifications:
  • Experience working in an advancement office with direct experience with stewardship, scholarship, data management, and endowment services procedures preferred.
Physical Requirements and/or Unusual Work Hours: Requires the ability to travel across and/or off campus to attend related meetings and/or deliver materials. On occasion, this position will be expected to work evenings in support of departmental related events.
