About this role:

Wells Fargo is seeking an Executive Assistant to support three senior leaders within Digital Product Management.

In this role, you will:
  • Calendaring - Calendar management/resolution of conflicts. Scheduling meetings, including video and conference calls.
  • Strategic Prioritization: Understand the needs of the department leadership as well as business objectives
  • Communication - Interact and act as a liaison with business partners, internal and external staff, and vendors.
  • Expenses - Process expense reports according to Wells Fargo policy, route/process invoices, and process check requests. Assist with budget planning and compile statistical data for financial planning.
  • Negotiation - Negotiate time on Executive's calendars based on priorities.
  • Manager Proxy - Act as proxy for managers on corporate systems where proxies are allowed.
  • Meeting Logistics - Prepare meeting agendas, materials, presentations. Coordinate reservations for meeting space, equipment needs, and catering.
  • Office Supplies - Place orders for supplies, business cards, and maintain supply rooms.
  • Presentation Materials - Create, edit, and update brand standard PowerPoint presentations and create visual presentations such as charts and graphs.
  • Records Management - Maintain accurate and organized physical and electronic files in accordance with the Records and Information Management Policy.
  • Travel - Make travel arrangements, adjustments as needed, create itineraries, and coordinate ground transportation.
  • Participate in less complex administrative duties to one or more members of more experienced management and contribute to the overall effectiveness of team
  • Identify opportunities for improving or implementing processes and tools within executive business management functional group
  • Assist with compilation of research, budget, and statistical data for financial planning initiative
  • Establish and implement office procedures and controls, handle most sensitive customer issues and confidential correspondence
  • Present recommendations for resolving more complex situations and exercise some independent judgment while developing understanding of the function, policies, procedures, and compliance requirements
  • Collaborate and consult with peers, colleagues and managers to resolve issues and achieve goals
  • Interact with shareholders, regulatory agents, media, and internal and external customers
Required Qualifications:
  • 2+ years of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education

  • Good PC skills with the aptitude to learn new systems quickly.
  • Intermediate to Advanced Microsoft 365 skills (MS Teams, PowerPoint, SharePoint, Excel, Word)
  • Proficient in drafting and proof-reading written documents utilizing proper grammar, punctuation, and spelling.
  • Strong attention to detail, including accuracy in grammar and a sharp focus on eliminating errors.
