The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities
Calendar management for executives.
Aid executive in preparing for meetings.
Responding to emails and document requests on behalf of executives.
Draft slides, meeting notes and documents for executives.
Scheduling conference calls (including international participants) and Zoom meetings.
Reserving rooms; registering clients with security.
Emailing / calling clients back re scheduling.
Scanning / saving docs to system.
Drafting (and proofing) letters and memos.
Handling sensitive/confidential client documents and data.
Process expense reimbursements (familiarity with ChromeRiver is a plus)
Book attorney travel through firm travel database.
Submit seminar preapproval forms for attorneys.
Experience with iManage as a document management system is highly preferred.
Open new client matters and draft engagement letters.
Process post-execution of executed documents [vaulting original documents, updating client files, and prepare closing binders (physical or digital)].
Assist attorneys with trust administration matters on those trusts where the attorney(s) serve as Trustee.
Qualifications
Bachelor's degree or equivalent experience
Proficient in Microsoft Office suite
Experience in managing multiple priorities, administrative coordination, and logistics
Well-organized, detail-oriented, ability to multi-task with great follow-up skills
