Job Description:

The Carver College of Medicine, University of Iowa Physicians (UIP) is looking for a Physician Recruitment Ambassador (Program Coordinator) to serve as the leader for the Physician Recruitment Ambassador Program. This program provides centralized coordination of recruitment efforts targeting clinical faculty, and other designated programs, at University of Iowa Health Care. This individual is a point person in developing recruitment strategies for designated clinical departments. Utilizing a team-oriented approach, this position collaborates with departments to assess and enhance current recruitment efforts and ensures both candidates and departments alike have a positive recruitment experience. The coordinator will participate in developing and executing strategies to attract candidates using a variety of methods and will serve as the primary liaison with participating search firms. The ambassador must be proactive, collegial, and collaborative while working with various stakeholders and departments to run multiple recruitment efforts simultaneously. This position is eligible for a hybrid work arrangement within Iowa after the completion of an onsite orientation period. Once hybrid work begins, the majority of work will take place on the University of Iowa campus.

Duties to include:


Operational and Financial Management


Recruitment Consultant to Departments

  • Review and evaluate current processes and practices to recruit and hire clinical faculty candidates to University of Iowa Health Care. Identify recruitment targets and anticipated challenges and assist in developing a roadmap to meet the goals for each unique recruitment.
  • Partner with hiring departments or programs to assess talent requirements and recommend sourcing strategies, in compliance with Affirmative Action guidelines, to achieve a qualified and diverse talent pool.
  • Partner with hiring department to coordinate events, outreach, and programming related to clinical faculty recruitment and retention.
  • Collaborate with the department or program to develop candidate itineraries for in-person interactions that not only include meeting with departmental and institutional faculty and leaders, but also provide opportunities for engagement with community leaders and resources, including realtors, social organizations, and other local partners engaged in recruiting professionals to the Iowa City/Cedar Rapids area.
  • As requested, assist search committees with screening applications and resumes, conducting phone screens, or making recommendations to hiring managers.
Financial Management
  • Develop the Ambassador Program annual budget for review and approval. Identify and prioritize budget and resource needs.
  • Monitor accounts and expenditures; authorize payments and reconcile financial statements.

Communication and Outreach


Relationship Building
  • Develop and maintain positive relationships with key internal and external stakeholders, candidates, and organizations with the understanding that every contact can be a potential candidate, referral, and/or future resource.
  • Network and manage relationships with external institutions, and UI campus and community members/organizations to enhance recruitment and retention strategies for clinical faculty members.
Marketing
  • Assist with the development and implementation of networking strategies for each search.
  • Liaison with search firms involved with identifying candidates.
  • Utilize a variety of tools/techniques (e.g., social media, advertising, direct contact, job fairs, and community outreach) to drive employer branding and recruitment marketing campaigns and events. May include attendance at national meetings to promote UI Health Care opportunities and recruitment efforts.
  • Partner with UI Health Care Marketing & Communications (MARCOM) to prepare internal/external advertisements and ensure all communications comply with employer branding.
  • Provide guidance to departments on appropriate language for communications and networking with and recruiting candidates. Ensure use of inclusive and non-discriminatory language in all recruitment materials, including written and electronic.
Sourcing Candidates
  • Create positive experiences and first impressions with candidates; maintain contact and engagement throughout the search process.
  • Assist with building and evaluating a qualified and diverse pool of candidates through a variety of research methods, including but not limited to online research, searching publicly available information, and conducting reference calls/interviews. Using this information, develop a profile of prospective candidates.
  • Build and maintain a database of previous and current candidates, organizations, and contacts from networking activities or search efforts that could be utilized in future recruitments.

Strategic Planning

  • Serve as liaison to UI Health Care departments and administrative units regarding the development and implementation of the strategic recruitment plan/roadmap.

Compliance

  • Assure compliance with all federal, state, and university regulations throughout the recruitment/hiring process.

Quality Improvement and Data Metrics

  • In collaboration with UI Health Care and UIP leadership, identify metrics to track program effectiveness and success.
  • Analyze data and formulate recommendations to improve program results and effectiveness.
  • Assemble and track recruitment and retention metrics.
  • Run and distribute reports, monitor compliance, and gather information regarding compliance activities or issues.


Required Qualifications:

  • A bachelor's degree or an equivalent combination of education and experience is required.
  • Minimum one year of experience with employee recruiting efforts.
  • Experience developing a new program or service.
  • Exceptional communication skills (verbal, written, listening) with ability to quickly build relationships and trust with a variety of constituents and organizations.
  • Ability to collaborate and engage stakeholders and community members around a common goal.
  • Ability to function in a fast-paced environment with multiple stakeholders and project targets.
  • Outstanding organizational skills and a high attention to detail and standards.
  • Must be proficient in Microsoft Office applications.
  • Valid U.S. driver's license and eligibility to operate motor vehicles under University of Iowa standards.
  • Must be flexible to the needs of the position by attending meetings, functions, or events outside of normal working hours.

Desirable Qualifications:

  • Experience working in an environment supporting higher education or academic medicine.
  • An understanding of health care systems and working with health care professionals, especially licensed physicians.
  • Familiarity with employment laws, particularly those involving recruitment and hiring practices.
  • Previous experience in marketing or sales.
  • Ability to foster a welcoming and respectful work environment.
  • Knowledge of University of Iowa policies and procedures.

Hybrid within Iowa: This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.
