Job Summary:

The Executive Assistant (EA) will support the CEO by managing their schedule, handling logistics, and organizing both business and personal tasks. The EA will anticipate needs, manage unforeseen challenges with proactive solutions, and interface across diverse departments in the United States, UAE, India, and Singapore, while maintaining professionalism and confidentiality. Additionally, the EA will oversee the smooth operation of a 15-person office, including event planning and stock replenishment, in a dynamic and fast-paced setting.

Responsibilities:
  • Provide comprehensive administrative support for the CEO, including scheduling, logistics, managing and prioritization of business and personal tasks.
  • Facilitate communication and movement of materials between the CEO, internal teams, and external contacts.
  • Manage the CEO's travel and visa arrangements and coordinate executive team logistics as necessary.
  • Handle communication, including phone calls, emails, and message-taking.
  • Run errands as needed.
  • Organize meals, meeting setups, and manage office operations like supply ordering and facilities oversight.
  • Coordinate internal and external events, including but not limited to board meetings and company gatherings.
  • Undertake financial tasks such as expense processing in collaboration with the finance team.
  • Address ad-hoc business and personal tasks, special projects, and emergency situations effectively.

Qualifications: +

  • Bachelor's degree.
  • Preferred 2+ years in a dynamic, growth-oriented environment.
  • Good communication skills.
  • High level of proactiveness, resourcefulness and ability to "get things done," especially when faced with new and unforeseen situations.
  • Strong skills in office management, organization, logistics, and multitasking, including proficiency in calendar and travel management.
  • Attention to detail, especially in confidential matters and document accuracy.
  • Experience with and interest in international travel arrangements and visa processing
  • Must maintain confidentiality with discretion.
  • Fluency in a foreign language is required, with a preference for Mandarin, Arabic, Hindi, or Tamil.
