Manages and coordinates tasks associated with project workflow and print production in support of MarCom and Advancement Division goals. Ensures operational and technical compliance of State/University guidelines for procurement and bid processes, vendor relations, licenses, and USPS regulations. Other duties as assigned.
JOB DUTIES:
40% - Essential - PROJECT EVALUATION AND MANAGEMENT: Supports and promotes project management system best practices. Develops and maintains documentation through project life cycle. Monitors & directs the initiation, planning, execution, control, and closeout phases of the project life cycle for minor to mid-size projects. Develops work plans to ensure project deliverables, milestones, and required tasks are completed as planned.
30% - Essential - PRODUCTION & TECHICAL ASSISTANCE: Organizes project workflows to ensure accurate production timelines. Coordinates print production of projects by working with internal clients and external vendors. Corresponds with contracted vendors to ensure projects stay on schedule. manages proof review/approval for internal partners and external vendors.
20% - Essential - PROCESS IMPROVEMENT AND COMMUNICATION: Tracks deliverables and shares updates with key stakeholders. Analyzes production patterns using quantitative and qualitative methods and recommends procedures to increase productivity. Maintains clean, up-to-date documentation for all projects via the MarCom project management system. Looks for cost savings while maintaining quality. Liaises with USPS contact to ensure compliance for all mail pieces. Assists in creative quality management planning.
10% - Essential - PROCUREMENT: Supports project management team in bid solicitations across print, digital, display graphics, specialty items, and other Division deliverables. Contributes to maintaining a robust vendor pool to optimize price/performance/quality ratio and timely delivery of services. Follows State and University procurement and bid processes. Collaborates with University-level procurement and the CU Buyways system on projects that need to go out for public bid. Evaluates procurement protocol, materials, lead times, shipment schedules, and deliverables.

Education -High School or Equivalent Work Experience - 1+ years
