JOB SUMMARY

The Payroll/Benefits Coordinator for our Corporate location will be responsible for processing payroll for approximately 650 employees that includes Corporate and Hospital staff; maintaining strict timelines and accuracy; processing payroll deductions, benefit premium payments, and employee enrollment in benefit programs; answering employee questions about payroll and benefits; resolving discrepancies and maintaining excellent records.

The incumbent will be responsible for collecting and verifying employee data, computing wages, and ensuring employees receive correct payment.

DUTIES AND RESPONSIBILITIES

PAYROLL
  • Efficiently manage and process payroll for all employees using Paycom software.
  • Ensure accurate and timely processing of payroll transactions, including data entry, payroll adjustments, deductions and garnishments.
  • Collaborate with HR managers to gather, verify and update employee data, including new hires, pay changes, transfers and terminations.
  • Resolve payroll discrepancies and answer employee queries related to payroll matters.
  • Stay informed about federal, state, and local payroll regulations to ensure compliance.
  • Generate and distribute payroll reports as needed for internal and external stakeholders.
  • Cut manual checks when needed.
  • Maintain confidentiality of payroll information and adhere to data protection regulations.
  • Enroll new employees in the 401(k) plan and manage changes to existing employee contributions and reconcile 401(k) deductions, contributions, to ensure accuracy.
  • Stay informed about changes in 401(k) regulations and compliance requirements.
  • Maintain and organize current and former employee records and files both hard copy and digitally.
  • Work with payroll provider to ensure federal, state, and local taxing accounts are set up and maintained.
  • Maintain and apply a solid understanding applicable FLSA laws in regard to PRN hourly, exempt and non-exempt employee statuses when processing hours worked.

BENEFITS
  • Prepare benefits reports of data results and findings for senior leadership and our benefits committee.
  • Maintain knowledge of legal and regulatory changes, trends, and other developments that may affect our benefit plans.
  • Coordinate all benefit inquires and respond to employee's questions/issues in a timely manner, providing monthly reporting on issues and solutions.
  • Manage all leave of absence (LOA) inquires and coordinate with our LOA vendor on process, claims management, and reporting.
  • Assist in planning and coordinating annual enrollment including system configuration, system testing, meeting coordination, and working with our communication consultant on employer communication materials for Open Enrollment.
  • Process vendor invoices as required.
  • Coordinate and reconcile monthly premium billings. Review, update, and track employee changes to ensure employee records reflect the most current set up.
  • Prepare accounting breakdowns and ensure benefit charges are current and accurate. Process and submit check requests.

REQUIREMENTS
  • Proficiency in using Paycom software for payroll processing.
  • Associate or Bachelor's degree in accounting, finance, business administration, or a related field (preferred)
  • Working knowledge of printing W-2
  • Minimum three (3) years of comparable work experience OR an associate's degree minimum 3+ yrs Payroll experience, 3+yrs Benefits experience OR at least seven (7) years of Payroll experience.
  • Must have good working knowledge of State and Federal and local payroll requirements for employee payroll and ERISA employee benefit requirements.
  • Intermediate or higher Excel, Word and PC skills

EDUCATION
  • Associate or Bachelor's degree in accounting, finance, business administration, or a related field (preferred)
