Job Description:

As an Administrative Assistant at Bespoke Real Estate, you will be an integral part of our team, providing crucial administrative support to ensure smooth day-to-day operations. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively. You will be responsible for handling various administrative tasks and assisting agents and clients with their needs, contributing to the overall success of our real estate business. ***DO NOT APPLY IF YOU CANNOT COMMUTE TO WATER MILL NY.

Key Responsibilities:
  1. Office Management: Manage the daily operations of the office, including answering phones, scheduling appointments, and maintaining office supplies and equipment.
  2. Client Support: Serve as the first point of contact for clients, responding to inquiries via phone, email, or in-person visits. Provide exceptional customer service and assist clients with their needs, including scheduling property viewings, processing paperwork, and addressing concerns.
  3. Database Management: Maintain and update the client database with accurate information, including property listings, client contact details, and transaction records. Ensure data integrity and confidentiality at all times.
  4. General Administrative Support: Provide general administrative support to agents and management team, including filing paperwork, scheduling meetings, and coordinating office events or meetings.


Qualifications:
  • Previous experience in administrative roles, preferably in a real estate or related industry.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and real estate software (e.g., MLS, CRM).
  • Strong communication skills, both verbal and written, with the ability to interact professionally with clients and colleagues.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Attention to detail and accuracy in all work activities.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility and adaptability to a fast-paced, dynamic work environment.
  • High school diploma or equivalent; additional qualifications in office administration or real estate are a plus.
