Marcum Search LLC is supporting our client in finding a highly skilled Executive Assistant to become part of their dynamic firm. This firm prides itself on providing outstanding service and specialized office solutions to its clientele.

Manhattan NY near Penn Station, not far from Grand Central Terminal.

This full-time Executive Support Specialist (or Executive Assistant) will assist the CEO/President and the senior leadership of the firm. The ideal candidate must possess exceptional attention to detail, is resourceful, organized, able to multi-task, have exemplary communication/written skills and thrive in a fast-paced environment. You will play an integral role in our organization, leveraging a high degree of confidence, integrity and professionalism.

You should want to grow and take initiative.

The responsibilities are fluid and include various assigned and ad hoc projects to assist our President & Senior leaders in moving the organization forward.

Diversified responsibilities include
  • General administrative and coordination with senior team
  • Draft correspondence, proof materials and take meeting minutes.
  • Maintain the calendars of the President & other leaders as well as coordinate and schedule meetings.
  • Make travel arrangements and coordinate minor personal details for the President if needed.
  • Embrace and use Chat GPT and other Ai tools
  • Create and maintain spreadsheets to track various information.
  • Database management, loading and retrieval in our CRM Hubspot
  • Assist at times with our Marketing Department or our Fun Committee
  • Handle highly sensitive and confidential materials with the utmost discretion. An NDA CA will be executed.
  • Serve as the gatekeeper to the CEO.
  • Establish relationships with senior leadership and staff anticipating and responding to their needs with regard to general operations and questions, delegating tasks as needed.
  • Represent the organization through a professional appearance and positive attitude.
  • Act independently with minimal direct supervision, and with accuracy, detail and excellent judgment.

Work Location

One location. NYC, NY

Work Remotely: up to 3 days but need flexibility depending on the President's schedule.

Associate degree acceptable/ Bachelors Degree preferred

Minimum 3 years' experience in a similar role

Need to be proficient with Microsoft Outlook, Excel, PowerPoint and general knowledge in CRM software.

Salary range: $65,000 to $80,000 depending on experience.
