The Advisor is responsible for ensuring BAAS and Gateway students' progress successfully through their academic careers with a focus on their academic performance in their online courses. Key holistic support activities include pre-enrollment advising; implementing proactive outreach to students, planning and implementing milestone events including graduation, new student orientation, student engagement programming; advising student groups, and serving on the scholarship committee. Conduct Junior, academic standing and graduation audits and identify necessary degree audit updates; develop, implement and measure success of retention initiatives. Develops and executes intentional retention outreach communication plans involving phone, email and other technology. The Advisor helps students navigate Penn resources and academic policies and connect with other academic and online student services of the University.
Job Responsibilities
Improve student retention/graduation rates by organizing/delivering activities & communication to support student progress through academic career, including transition to Penn process. Collaborate with Penn LPS Online Team re strategies to encourage degree/credential completion & achievement of academic goals. Identify milestone events, perform ongoing audits. Respond to customer relationship management inquiries. Attend Graduation. Conduct Junior, academic standing, and graduation audits. Advise, orient and assist Gateway students to make a successful transition to online undergraduate degree status. Support students in their transition to the online environment. Identify 1st semester transition obstacles and develop and implement plans to address them. .
Provide academic advising to degree seeking students in the online undergraduate degree program. Develop group advising initiatives and cohort transitions using data in preparation for growing enrollment. Assist undergraduate students in course selection for degree requirements; refer students as appropriate to program directors or academic resources for specific academic advising issues; liaise with university support services, faculty contacts and program director on specific student cases. Participate in developing and implementing interventions for students experiencing difficulty.
Develop and maintain effective, ongoing academic communication with online undergraduate degree seeking students via e-mail, listservs, virtual and learning management systems and the telephone. With LPS Marketing staff, LPS Registrar & Penn LPS online staff, keep student handbooks and the Penn LPS online website info up to date/accurate. Update student information on the Program site hosted on a learning management system as needed. Nominate students for graduation awards. Communicate with students re routine/non-routine issues--registration/add/drop deadlines, emergency closings. Solve routine student problems/guide & orient students to self-service resources.
Support student retention, provide proactive communication to those in academic difficulty or in danger of being withdrawn for inactivity; assist them with reenrollment or in applying for readmission to LPS. Collect, monitor & analyze retention, attrition, academic standing & graduation statistics; perform regular academic audits. Work with Program Director to determine & deliver appropriate interventions for students not making sufficient academic progress. Assist in measuring effectiveness of interventions.
Work with students and Penn LPS online team members on transfer credit process; help students navigate the transfer credit evaluation process. Serve as a member of the Scholarship Committee, may be primary contact for some of the following initiatives: specific student success events, initiatives including scholarship recipients, student affinity groups, new student orientation program coordination/communication, and participating in Graduation. Collaborate with Undergraduate Teams Program Coordinator on planning and facilitating scholarship events.
Perform additional duties as assigned.
Qualifications
Bachelors of Arts, Bachelor of Science, Bachelor of Fine Arts, and 2 to 3 years of experience or equivalent combination of education and experience is required.
A minimum of 2 years of experience with student development and transfer advising in a higher education environment required; master's degree preferred.
Familiarity with technology and tools to help support online students required.
Experience with academic issues facing adult online students and experience assisting adult transfer students in developing academic plans to meet their future professional goals.
Familiarity with FERPA and other regulations and policies affecting students required; must possess excellent oral and written communication skills and demonstrated ability to work well as part of a team.
Familiarity with Microsoft Office Suite required.
Application of career development theory preferred along with familiarity with social media, survey software and online delivery of education and support services.
Must be willing to work a flexible schedule (evenings; weekends; graduation).
