Job Description:

Capstone Advisors is looking for an experienced real estate Assistant Project Manager to join our team. Now in our 28th year of business, we continue to be an entrepreneurial and innovative company offering a variety of interesting projects to work on. Our multi-state portfolio includes retail, industrial, office, and land for residential and commercial development. The position is in the office at least four days per week with the option to work one day remotely and is based in the Company's beautiful Carlsbad, CA headquarters.

The Assistant Project Manager will play a crucial role in supporting the Vice President of Property Management and Senior Project Manager, to ensure the successful operation and management of properties and the execution of projects within the commercial real estate portfolio. With a focus on coordination, budgeting, and communication, the ideal candidate will contribute to the efficient management of resources and the achievement of property and project objectives and will support the team in strategic initiatives. Additionally, the Assistant Project Manager will provide support to the Vice President of Development as needed.

Responsibilities Include:

  1. Assist in scoping, budgeting, and planning the execution of project objectives under the direction of the Senior Project Manager.
  2. Determine specifications, obtain competitive bids, and administer contracted services.
  3. Maintain vendor, CAPEX, and tenant improvement files for each property.
  4. Review lease documents for landlord work requirements and develop scopes of work.
  5. Track critical dates in leases related to landlord work and tenant improvements.
  6. Coordinate creation of new lease outline drawings for vacant spaces and upon tenant move-outs.
  7. Coordinate, obtain pricing, and contract for landlord's work required by leases.
  8. Perform construction observation for Southern California Tenant Improvement projects.
  9. Assist in the process for entitlements and ground-up development of commercial properties.
  10. Collaborate with third-party consultants including architects, engineers, and contractors.
  11. Report project status and forecasting to management, noting prospective issues and variances, and recommending solutions.
  12. Assist in the development of preliminary estimates and schedules for maintenance and improvements.
  13. Assist with the creation of annual and 5-Year property budgets.
  14. Track projects being performed by third party property managers.
  15. Provide oversight of activities performed by contractors and vendors to ensure timely performance.
  16. Review and process contractor invoices for payment.
  17. Communicate with tenants, subcontractors, and vendors.
  18. Coordinate project meetings and create job schedules.
  19. Assist in construction coordination, project scheduling, administration, operations, and close-outs.
  20. Review and approve tenant construction and signage plans for compliance.
  21. Collaborate with the acquisitions team on due diligence efforts for property acquisitions.
  22. Ensure efficient expense control while maintaining operational and construction standards.


Qualifications:

  • Excellent computer skills, proficiency in Microsoft Office and SharePoint, and comfortable with new software platforms.
  • Experience with commercial property operations and management.
  • Experience with interior and exterior improvement projects for commercial properties.
  • Experience with project management software, AutoCAD and Bluebeam preferred.
  • Working knowledge of governmental agency permits and approvals.
  • Working knowledge of architectural, engineering construction plans.
  • Experience developing property and project budgets and schedules.
  • Experience in managing construction-related contractors and vendors.
  • Bachelor's Degree or relevant equivalent experience.
  • 3+ years of construction/project management experience, preferably working in a commercial property owner-operator or third-party property management organization.
  • Excellent oral and written communication skills.
