Job Description:

EXECUTIVE ASSISTANT

Our client, a Kansas City based bank and financial services partner is seeking an accomplished executive assistant to provide comprehensive administrative and project support working in a fast-paced, high-energy environment. Daily responsibilities include support of the C level executive team, meeting coordination and scheduling, event planning, document preparation, communications, managing small projects, local facilities coordination, and ad hoc assignments as needed.

We are seeking an experienced, accomplished and mature professional with referenceable history of execution oriented discretion, ability to effectively prioritize tasks, professional flexibility and agility and a minimum of 3 years supporting multiple C- Level Executives.

Titling Experience and Current Notary is preferred.

This role requires your In Office Presence 8:00AM - 5:00PM Monday Through Friday in the Lees Summit area.

Salary Range $60k - $70k per year.

Education and Experience Requirements

Bachelor degree (BA) from four-year college or university,

Five years related experience; or equivalent combination of education and experience.

Reporting Structure and Responsibilities

Support Bank's CEO, COO/Chief Legal Counsel, Chief Strategy Officer, CFO
  • Administer support services for the Kansas City executive team.
  • Meeting coordination and calendar maintenance. Coordinate and schedule small-medium-large meetings with both internal and external parties.
  • Coordinate events for our internal team.
  • Welcome and accompany visitors and guests as required.
  • Screen incoming calls and correspondence, providing independent responses when applicable. Maintaining strict confidentiality. Coordinate internal communications from the executive office. Establish and maintain a positive working relationship with the executive team and interface as required with our Board of Directors.
  • Oversee the preparation of records such as agenda, meeting minutes, and resolutions for assigned corporate meetings.
  • Draft, transcribe documents, and compose confidential correspondence, reports, and complex documents.
  • Create and maintain database(s) and spreadsheet files.
  • Arrange travel plans and itineraries, compiling relevant travel-related documents.
  • Initiate and follow up on IT tickets as needed.
  • Main point of contact for coordinating the Kansas City market facility needs.
  • Plan and coordinate various company events and leadership presentations throughout the year. Includes booking venues, coordinating guest lists.
  • Internal communications from Executive office, enterprise wide. Coordinate technology 'multi-cast' events and town halls as needed in support of our internal communication planning via available technology solutions.
  • Participate under the direction of our team's marketing strategies on various social media platforms and work closely with our marketing team to ensure timely and relevant distributions of key marketing initiatives.
  • Prepare, coordinate, compile and assimilate all documents necessary to ensure the Kansas City Market banking teams have everything they need on a critical timing basis to secure and complete business efforts. Titling and notary expertise a plus. Includes printing and binding documents for various presentations as required.
  • Occasionally using appropriate internal workflow databases and maintaining an accurate account of necessary details on specific business deals as assigned, along with maintaining and organizing underwriting files and transcripts for each transaction per policies and procedures.
  • Gather and submit expense reports for the team.

Skills, Knowledge, and Ability Requirements
  • Strong communication and interpersonal skills, Proficiency in writing business correspondence.
  • Excellent organizational skills with meticulous attention to detail.
  • Project management skills a plus.
  • Ability to work with minimal supervision either independently or as a team member, under strict time constraints and handle high-pressure situations.
  • Ability to work with computers and various software programs, including proficiency with the Microsoft 365 Suite especially Outlook, Excel, and PowerPoint, Visio, Project, and Teams RingCentral also a plus.
  • Gather/maintain data and research material from the Internet, including reports, industry publications, and public records from government organizations for the banking team business development and customer relation purposes.
  • Effective presentation skills when conveying information and responding to inquiries from managers, clients, customers, and the public.
  • Excellent math skills.
  • Problem-solving skills, adaptable to a variety of situations with limited standardization.
  • Familiarity with the banking industry and various regulatory bodies (FDIC, FFIEC, FRB, and SEC) as well as learning company and division operations, policies, and procedures.
  • Experience with organizational, legal, and human resource matters
  • Perform any other duties as assigned.
