LifeWave is seeking a highly organized and proactive individual to join our team as an Office Receptionist

POSITION SUMMARY

We are seeking a highly organized and proactive individual to join our team as an Office Receptionist with HR Duties. This role involves serving as the first point of contact for visitors and callers, managing administrative tasks, and providing support to the Human Resources department. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to multitask effectively in a fast-paced environment. This is a 100 percent office role.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Reception Duties:

Greet and welcome visitors in a professional and friendly manner.

Answer and direct incoming calls to appropriate personnel.

Manage incoming and outgoing mail and packages.

Maintain a clean and organized reception area.

Assist with scheduling appointments and meetings as needed.

Administrative Support:

Perform general clerical duties, including photocopying, scanning, and filingdocuments.

Assist in maintaining office supplies and equipment.

Coordinate travel arrangements and accommodation for staff members.

Prepare correspondence, reports, and other documents as requested.

Update and maintain office databases and records.

HR Assistance:

Assist with the recruitment process by scheduling interviews and maintaining candidate records.

Coordinate new hire orientation sessions and assist with onboarding paperwork.

Maintain employee records and ensure compliance with HR policies and procedures.

Assist in organizing employee events and initiatives.

Support HR staff with various projects and initiatives as needed.

QUALIFICATIONS

Previous experience in a receptionist or administrative role preferred.

Effective communication and interpersonal skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Excellent organizational and time management abilities.

Ability to maintain confidentiality and handle sensitive information with discretion.

Knowledge of basic HR processes and terminology is a plus.

High school diploma or equivalent; additional education or training in office administration or HR is desirable.
