LHH is currently partnering with a nonprofit organization in the Washington, DC area looking to bring on an Executive Scheduling Assistant. This position will support scheduling and calendar management for executives in the organization. This is a long term contract opportunity with the potential to be converted to a permanent employee. This role requires 5 days a week onsite. The hourly pay for the position ranges between $24-$29 per hour based on experience. We are seeking a detail-oriented and proactive Executive Scheduling Assistant to join our team. The Executive Scheduling Assistant will play a crucial role in managing the complex schedules of our executives, ensuring efficient coordination of meetings, appointments, and travel arrangements. The ideal candidate will possess exceptional organizational skills, strong communication abilities, and the ability to thrive in a fast-paced environment.

Responsibilities:
  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate with internal and external stakeholders to schedule and confirm appointments, ensuring alignment with executive priorities and availability.
  • Anticipate scheduling conflicts and proactively resolve them to optimize executive time management.
  • Prepare and distribute meeting agendas, materials, and other relevant documentation in advance of scheduled meetings.
  • Act as a liaison between executives and other team members, relaying messages, requests, and updates as needed.
  • Arrange travel accommodations, including flights, accommodations, transportation, and itinerary planning, ensuring smooth and efficient travel experiences for executives.
  • Assist with special projects and administrative tasks as assigned by executives, demonstrating flexibility and willingness to support various initiatives.
  • Maintain confidentiality and discretion in handling sensitive information and communications.

Qualifications:
  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Proven experience in executive support or administrative roles, with a focus on calendar management and scheduling.
  • Exceptional organizational skills and attention to detail, with the ability to multitask and prioritize competing demands effectively.
  • Strong communication skills, both verbal and written, with the ability to interact professionally with individuals at all levels of the organization.
  • Proficiency in calendar management software (e.g., Microsoft Outlook, Google Calendar) and other office productivity tools (e.g., Microsoft Office Suite).
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Proactive and resourceful problem-solver, with the ability to anticipate needs and identify solutions independently.
  • Flexibility and adaptability to changing priorities and deadlines in a dynamic work environment.
  • Experience in a fast-paced corporate environment preferred.
