Purpose



Church World Service is seeking an Administrative Assistant that is highly organized, accurate, an effective communicator, and detail oriented to provide support for finance, payroll, and benefit functions. This is a great opportunity to work with staff on a wide range of tasks and projects to help the office to be more efficient and run smoothly. This role will report to the Senior Director of General Accounting and work with staff across the department.


This is a hybrid position with four days in the Elkhart office and Fridays working remote.



Responsibilities





  • Respond to mail, correspondence, and messages.

  • Generate, send, and follow-up on payroll, benefits and other finance notifications, billings, and invoices.

  • Compile accounting, payroll, and benefit documentation and paperwork.

  • Review and reconcile monthly, quarterly, and annual deduction and billing files.

  • Assist payroll as needed with time sheet follow-up, new hire paperwork, and deduction review.

  • Work with the benefit staff to monitor leave balances.

  • Generate payment authorizations for approval.

  • Coordinate electronic files and SharePoint site for the department.

  • Maintain department calendar and schedule meetings as needed.

  • Additional duties as assigned.




Qualifications





  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint).

  • Ability to handle confidential and sensitive information.

  • Excellent verbal and written communication skills.

  • Great teammate who thrives in a fast-paced environment.

  • Flexible and adapts to change.

  • Strong collaboration, organizational, and decision-making skills.



  • High School Diploma (some higher education preferred).

  • Minimum of 5 years of administrative experience preferred.
