What you will do
In this role you will provide high level support to several leaders in a fast-paced, interesting corporate business environment; you will be the key resource to the VP of Global Tax and other tax leaders with which you partner.   Your organizational skills, take charge attitude and ability to adapt and support key tax areas will make a difference and contribute in a significant way to those you support and the company.

Duties:

Support global tax function in various activities to ensure tax compliance by managing global tax tools, maintain tax calendars and dashboards, gathering key data, and ensure efficient management of day-to-day operations.  This will include the following: 



  • Support Tax Operations in data extraction and data preparation from company software systems (i.e., ERP, tax software), global tax communications and information requests, formatting of business process documentation. Examples include:



    • Technology administrative support including Tax SharePoint document management and workflow system (i.e., quality control oversight, user access, governance and compliance of documents with records retention policy, maintenance of key meta data, training support, and troubleshooting support) Other technology requests may related to PowerPoint presentation formatting and meeting facilitation(MS Teams)


    • MS Excel data summary and administrative trackers


    • Power BI dashboards – dashboard maintenance


    • Adobe PDF and DocuSign e-signature request facilitation




  • Support Tax Counsel in closing out documentation for projects in SharePoint and ensure quality check of information. Assist in project closure using a checklist supporting documentation.


  • Support Tax team in summarizing key information and analysis through utilization of excel workbooks or other software.


  • Management of tax documentation for various types of tax (i.e., exemption certificates for Sales and Use Tax, certificates of foreign status (Forms W-8, W-9) for Withholding Tax, Power of Attorney forms, etc.)


  • Management of the department budget, coordination of vendors (service providers), requesting and managing POs (Maximo), processing invoices etc.


  • Support tax team in various administrative matters including tax software license management, mail handling (includes tax notices, tax assessments, and certified mail), office supply management, travel and expense support, new joiner onboarding and visitor requests, and team event support.


What we look for:


  • Minimum Associate’s degree in business admin (accounting or IT systems emphasis) Bachelor’s degree preferred.


  • Minimum of 3 years of relevant experience in a fast-paced corporate or public accounting environment (more experience required w/ Associate’s degree)


  • Proficiency in Microsoft Office Suite applications (Excel, Word, PowerPoint, Outlook, etc.).  Certification in Microsoft Office Suite preferred.


  • Proficiency at utilizing and supporting the management of an electronic document retention system and workflow solutions (i.e. SharePoint)


  • Ability to perform basic numerical analysis and extract data from various systems (consolidation (OneStream), ERP (SAP, etc.), etc.).


  • Ability to adapt to new or changing technology or processes based on business needs.


  • Self-confident, able to think creatively, and a thirst for knowledge to improve processes, etc.


  • Excellent organization and communication skills are required to coordinate support for the department and to maintain a high-quality service level.


  • Demonstrated ability to work independently and follow through on assignments with excellent attention to detail.


  • No tax experience required.
