Job Description:

The University of Iowa Hospitals and Clinics department of Safety and Security is seeking a Support Services Specialist to provide support through planning, development, and coordination of assigned tasks associated within the UI Healthcare Network. This position must demonstrate excellent interpersonal skills and the ability to interact with internal and external constituents while facilitating positive relationships.

A successful candidate must be highly organized, exercise independent judgement, and work well within a team first environment. This person is required to manage multiple priorities and have strong problem-solving skills.


Assigned Duties:

  • Assist with planning, developing, coordinating, and implementing short and long-range goals for projects.
  • Assist with assuring compliance with various with various policies and procedures (e.g., Safety and Purchasing)
  • Support Occupational Safety contact in handling all access control tasks.
  • Act as a commissioning agent of all cameras, doors, security items, and hardware.
  • Coordinate on various project task lists.
  • Research information to facilitate communication process.
  • Review, resolve, and respond to requests for information, data, services, complaints, etc.
  • Serves as a key contact for Safety and Security, responds to inquiries, maintains records for key and door access.
  • Utilize Tableau and MS Office Suite programs such as Outlook, Word, Power Point, and Excel for data and communications.
  • Assists in coordination of reports, as well as other documents.
  • May develop and coordinate internal/external communication.
  • Analyze, monitor, and report financial data, information, and reports.
  • May be asked to initiate and/or approve routine fiscal transactions.
  • Proficiently keep track of inventory to include capitalized equipment and computers.
  • Assist with reconciliation of accounts.
  • Assist with preparing strategic plans in support of the Director and recommend edits to related documentation.
  • Assist department Director and Occupational Safety contact in implementing assigned projects and tasks for locations within the UI Healthcare Network.
  • May provide functional and/or administrative supervision of staff.

Required Qualifications:

  • A bachelor's degree or an equivalent combination of education and experience is required.
  • 1 - 3 years of related administrative experience in an office setting is required.
  • Experience with budgets and monitoring financial accounts is required.
  • Experience planning and coordinating tasks with a high level of independence is required.
  • Experience working successfully in a team environment is required.
  • Excellent customer service, public contact, and written/verbal communication skills is required.
  • Ability to handle multiple tasks, proactively establish priorities, and meet deadlines is required.
  • Extensive experience with Microsoft Office programs (Word, Outlook, Excel, Publisher, PowerPoint) is required.

Desirable Qualifications:

  • Experience using University of Iowa Access Control systems is desirable.
  • Experience with Hospital Safety and Security policies and procedures.
  • Experience tracking expenses and monitoring financial reports.
  • Knowledge of University of Iowa and University of Iowa Health Care policies and procedures is desirable.
