Job Description Summary


The Financial Administrative Coordinator is part of the Financial Planning & Operations (FP&O) team supporting all financial matters throughout the Wharton Graduate Division. This role will work with partners throughout the University to ensure an efficient financial experience for both Wharton staff and students. This role will support various logistical, calendar and financial functions via both day to day operations as well as focused project work. The position demands unique policy knowledge and administration skills to ensure conformity with University policies while meeting all the needs of staff and students. This position will have the ability to work as a part of a cross functional team in an innovative and data-driven environment.




Job Description




The Financial Administrative Coordinator reports to the the Business Administrator B - Financial Planning & Operations (FP&O) and supports the office with day-to-day financial processes. Works closely with all Graduate Division offices to review and approve Concur travel processing, Purchase Orders, non-PO processing, meeting card and Procard transactions. This role is the primary financial and operational resource for MBA students specifically related to fellow payments, Student Experience and Summer Internship fund payments, and coordination with the WGA and other student club financial matters.


This role will partner with multiple offices outside of Financial Planning & Operations, including the MBA Program Office, Admissions, Student Life, Career Management as well as central offices in the areas of Finance, Purchasing and HR to streamline submission and processing requirements. This role will support the Business Administrators in delivering top level customer service and streamlined financial processes to both staff and students.


This role provides administrative and logistical support for the Vice Deans Office, including managing the calendar and requests for meetings with the Vice Dean. Provides administrative support for the Senior Director including projects related to Pre-Term, administrator-student lunches, student club funding, and other events hosted by the Office of the Vice Dean. Requires exercising judgment and use of discretion in executing administrative and clerical duties, as s/he will handle complex and confidential materials.


The position demands unique policy knowledge and administration skills to ensure conformity with University policies while meeting all the needs of staff and students. This position will have the ability to work as a part of a cross functional team in an innovative and data-driven environment.



Responsibilities Include:



  • Perform complex and confidential administrative duties for FP&O Team in support of the Graduate Division including processing in Concur travel, BEN Financials (requisition and purchasing), meeting card, pro-card and Workday payroll / HR functions.


  • Process all student transactions including fellow payments, compensation, Experience Fund Venture reimbursements, Summer Internship Funding, and provide support for the WGA and other student clubs. Ensure all items reconciled, budgeted and within University HR / UPENN policies.


  • Provide administrative, financial and logistical support for the Office of the Vice Dean including Pre-term support, administrator-student lunches, club funding and calendar management.


  • Act as key contact for Graduate Division staff for any processing, vendor questions, invoice inquiries and necessary purchasing. Monitor and respond quickly and accurately on all financially related queries from students and staff to ensure proper and efficient processes.


  • Provide backup support and other duties as assigned.








Qualifications




Associates Degree and 2 to 3 years of financial customer service-oriented environment required, or equivalent combination of education and experience. Bachelors' Degree preferred. Excellent ability to prioritize work and to communicate well with a wide variety of constituents required. Must demonstrate ability to handle confidential information with responsibility and respect. Must be able to demonstrate strong customer-service ethic and excellent attention to detail. Prior experience and knowledge of Workday, Concur travel, purchasing processes and/or BEN Financials is preferred. Excellent skills in Word, Excel, and Power Point are required.
