The Impact You'll Make:
Proactively and reactively work to ensure the effective functioning of all property facilities. To provide an efficient and safe working environment for all employees and customers by using industry best business practices to manage resources, services and processes to meet the needs of the company.
Key Responsibilities:
Manage (directly and indirectly) all property maintenance tasks including but not liminted to facility operations, maintenance, repairs, updates, janitorial, lawn services, security and day-to-day performance
Lead, manage, and coach the team to better support the branches and all initiatives assigned to the role
Responsible for space planning and management, executing associate moves, office renovations and installations of facilities assets and equipment
Work closely with local Leadership and other required organizations, to ensure strict adherence to all applicable local regulations for facility management services and building maintenance
Coordinate with design and construction teams to exit out of closed facilities when relocating branches. Making sure we deliver the space back to the LL per the terms of lease.
Direct third-party service providers to ensure all preventive and corrective maintenance is performed in an effective and efficient manner
Develop, implement and manage a facilities audit program, including identification of issues/opportunities and corrective actions
Manage facility vendor performance and relationships
Develop annual capital improvement budget and proactive capex programs to maintain the value and appearance of each property, while minimizing reactive expenditure
Develop short- and long-term strategies to minimize deferred maintenance, including creation and management of 5-year operational and financial plan
Develop, implement and manage quality programs that drive a strategic sustainability and continuous improvement culture in the management and operations of all properties
Manage established KPIs including, but not limited to: cost/square foot, customer satisfaction, utility consumption, business interruption resolution
Establish and maintain a Computerized Maintenance Management System (CMMS) for intake, request, repairs, historical tracking, exception level reporting
Establish and adhere to priority SLAs and response times for critical customer requirements
Track capital projects using Procore
Establish and maintain a formal intake system for repairs, requests, maintenance, and routine scheduled services/inspections
Manage corporate office services, seating assignments, moves and related requisitions, and FF&E
Establish and maintain branch security standards, processes and life/safety guidelines in adherence to company policies and governmental regulations
Manage assigned special projects to improve the layout and general aesthetics of our branch network
Direct third-party providers to complete all activities assigned to the special projects
Collaborate with senior internal stakeholders (Presidents, RVPs) to ensure successful handover of assigned projects
Qualifications:
Knowledge of building systems and facility operation (electrical, plumbing, HVAC, controls, fire/security, outdoor storage, etc) is an asset
Sound knowledge of health, OSHA, safety and environmental regulations
Strong business, organizational and management skills with an emphasis on relationship management
Ability to read and interpret documents such as operating reports, financial statements, safety rules, operating and maintenance instructions, and procedure manuals
Must be self-motivated, including high attention to detail with ability to focus and multi-task in a fast-paced environment
Must be able to motivate others and drive teamwork/cohesion among a broad group of individuals
Must possess strong computer skills including use of Microsoft Excel, Word, Power Point, Procore, Bluebeam; previous experience with an ERP system (ie. Eclipse, Mincron) is an asset
Must have strong communication skills with the ability to interact with all levels of the organization and outside vendors
Must have strong problem-solving and decision-making skills with the ability to independently identify and implement appropriate solutions
Accountable leader with high ethical standards
Your Background:
Bachelor's degree in Facilities Management, Facilities Engineering or related qualification such as project management, business management or construction management
Minimum 5 years' experience managing facilities for a large, geographically dispersed multi-site organization
