Divisional Systems Assistant (5th to 8th Grade & Camps)

Position and Responsibilities


The Divisional Assistant must be a detail-oriented, self-motivated person with excellent organizational, technology, and data skills to support Bank Street's Children's Programs. Although Children's Programs encompasses many programs and parts of the school, each Divisional Assistant will have focus areas. This role's focus area will be the Upper School (10/11s-13/14s) and Camps. This role is key to the smooth functioning of the daily and long-term operations that support teachers' efforts to help all children grow and thrive. The role is mostly administrative and operational work but will also have some direct classroom support.

This role is a 12-month position, and is in the Professional Employees' Federation (PEF), the union for faculty members at Bank Street College. As a full time employee of the college, the person in this role will have access to the benefit of free Bank Street Graduate School of Education coursework (two courses per semester).

Specific responsibilities of the position include:


Coverage & Student Support

  • Being on site, in person, promptly from 8 AM-4 PM Monday through Friday and staying an additional hour on Wednesdays for faculty meetings.
  • Being willing and available remotely to arrange coverage outside of school hours
  • Working closely with Division Dean, Learning Support team to schedule and follow up parent meetings
  • Support arrival and dismissal, and before and after school needs
  • Acting as the point person on supports for arrival, including lobby presence of staff as needed and retrieving and delivering to class the children on the bus
  • Delivering urgent messages to and from students and their families via phone and email
  • Supporting end of day transitions students
  • Finding and arranging coverage for teachers based on emergent needs
  • Stepping in as additional classroom coverage when needed

Systems & Data

  • Supporting the operations and administrative systems of divisional leaders, including but not limited to: student and staff attendance; scheduling team meetings; booking locations for meetings; booking field trips and trip buses or subway/city bus passes; logistical planning for overnight trips; submitting maintenance requests; preparing check-lists for room set-up and break-down
  • Creating class information documents for classroom teachers
  • Formatting and creating Emergency Cards for each classroom
  • Placing ongoing orders of supplies, food, and other material as needed, and coordinating with the Director of Finance & Operations on divisional credit cards
  • Ensuring administrative data systems and the directory of room numbers and phone extensions are accurate and up to date and shared in electronic formatting.
  • Creating and maintaining class, faculty, and family email lists.

Operations & Technology

  • Updating faculty and family events in the school's online calendars with accurate room numbers and/or zoom links for events and meetings through the school's central technology platform
  • Supporting with the school food and lunch program such as acting as point-person for the shared use of 2nd floor kitchen and the distribution of the 3/4s-6/7s snack
  • Supporting and arranging for all adult engagements including weekly meetings, curriculum related events, and additional times when adults meet.
  • Working with the IT team to provide classrooms with educational technology
  • Interfacing with Admissions Team to receive and organize Family and Child History Forms and share with appropriate classroom teachers
  • Preparing documents, editing writing, and completing checklists for Midyear and End of Year Reports for classroom teachers and specials teachers
  • Uploading reports to school management software for parents to view
  • Support and facilitate the divisional communication to families by age level, division, and school-wide
  • Monitor and approve part-time staff hours
  • Liaise with the Bank Street Graduate School to place graduate school students into classrooms for their coursework requirements
  • Manage discrete projects as requested which include but are not limited to the yearbook, field trip logistics, and one-off events.

Summer Camp

  • When school breaks for the summer, this role will primarily serve Summer Camp (a part of Children's Programs).
  • Summer Camp support will cover many of the same responsibilities as above, such as providing some system, data, operational, and technology support for Camp needs.
  • Camp responsibilities will also include doing coverages and serving as a counselor depending on camp leadership needs, and managing some aspects of the camp program which include but are not limited to early morning camp, trip logistics, and swim.
  • Hours may shift during the camp to align with camp program hours such as to 10 AM-6 PM to support and plan end-of-day camp activities
  • Other duties as assigned by Camp leadership

Miscellaneous

  • Attend and participate in weekly faculty meetings
  • Attend and engage in regular planning meetings and weekly supervision meetings
  • Support and help with coordinating staff hiring processes as needed
  • Performing other duties as assigned by the LS & MS Division Head

Desired Qualifications & Skill Sets

  • A Bachelors Degree
  • Proficiency with technology tools and platforms for communication, administrative and organizational systems, and data management
  • Proficiency with spreadsheets, microsoft suite, and google suite.
  • Demonstrated personal and professional commitment to social justice and equity, including an ability to reflect on and articulate one's racial identity development
  • Knowledge of, commitment to, and experience with progressive education and schooling
