The mission of the Department of Obstetrics and Gynecology at Indiana University School of Medicine is to advance the health care of women in the State of Indiana and further impact the quality of women's health care both nationally and abroad. The department has a long history of outstanding education, clinical care, quality improvement, and basic, clinical and translational research. The IU School of Medicine OB-GYN teaching faculty and appointed clinical faculty at all 9 campuses throughout Indiana are eager to teach and have medical students as part of their teams.
Fellowship Training: The Department of Obstetrics and Gynecology offers 3 fellowship training programs for subspecialty training: Maternal-Fetal Medicine Fellowship, Minimally Invasive Gynecologic Surgery Fellowship and Female Pelvic Medicine and Reconstructive Surgery Fellowship.
Job Summary
Department-Specific Responsibilities
Ensures adherence to program requirements.
Completes schedules and reporting tasks as stipulated by IU School of Medicine's, Graduate Medical Education office.
Monitors Accreditation Council for Graduate Medical Education ACGME and American Association of Gynecologic Laparoscopists AAGL sites for requirement updates.
Oversees and manages site visits.
Schedules fellow 6-month and year-end reviews.
Completes training affidavits and verifications.
Attends program affiliated meetings.
Oversees recruiting process. Monitors applications, communicate with candidates, prepare interview packets, coordinates and schedules interviews, and manages virtual interview platform.
Supports fellows; monitors progress and adherence to program requirements, process reimbursements, secure evaluations, schedule conferences, document time off requests, enter rotation schedules, respond to fellow inquiries, and set virtual meetings. Reminds fellows when requirements are due.
Onboards fellows; processes electronic hiring documents and complete paperwork, sends welcome letter with instructions for apply for medical license, CSR, DEA, etc., facilitates credentialing, and monitors fulfillment of orientation requirements.
Schedules department orientation and arranges for obtaining organization ID badges, white coats, etc.
Advises on administrative matters and policies.
Works directly with directors in each representative fellowship.
Ensures compliance with National organization recommendations, graduate medical education and school requirements, and overall fellowship program success.
General Responsibilities
Provides administrative support to the department, such as managing calendars, answering phone calls, creating routine and confidential correspondence, drafting reports and presentations, and arranging meetings and conferences.
Schedules rotations and clinic hours for members, and may arrange extracurricular activities.
Counsels current and incoming residents on administrative issues such as scheduling, rotation requirements, benefits, and leave.
Coordinates activities related to recruitment, including events, screening, interviewing, reference checks, and orientation for candidates.
Maintains ongoing documentation with respect to accuracy, confidentiality, and accessibility.
Implements program improvement projects from initiation to execution.
Offers recommendations to improve program administration and/or the overall quality of care.
Participates in the planning and development of academic and clinical requirements to ensure that all accreditation standards are maintained.

EDUCATION
Required
High school diploma or equivalent (such as HSED or GED).
WORK EXPERIENCE
Required
4 years experience in administration, office management, or program coordination.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. Advertised Salary
$46,168.00 - $51,168.00 per year based on experience will fall in line with department equity.
Work Hours
Monday - Friday
Varying hours and work days, including weekends and evenings, may be required to fulfill program requirements and duties.
