The Division of Undergraduate Education (DUE) serves as the catalyst for enhancing the quality of the undergraduate student experience while promoting on-time graduation for all undergraduate students at IUPUI. 3 units report up to the DUE: University College, Honors College and the Institute for Engaged Learning.
Job Summary
Department-Specific Responsibilities
Provides administrative support for the AVC/Dean and University College including purchasing, calendars/scheduling, travel arrangements, communications and meeting minutes, and support of special projects.
Serves as backup support for other units within the Division of Undergraduate Education for these duties as needed.
General Responsibilities
Provides administrative support for University College, assisting with scheduling, travel, and special project management for the Senior Executive Directors
Coordinates applications, and monitoring fund and creating reports on students supported by the Evenbeck Emergency Grant, in consultation with the Senior Executive Directors
Provides administrative support to the AVC/Dean in calendar management, travel arrangements, support of DUE events and awards
Secures locations for regularly-scheduled committee or council meetings, drafting meeting agendas for these regular meetings, attending these regular meetings to take minutes, and drafting final minutes and distributing meeting notes to committee attendees in a timely manner.
Assists with processing and monitoring of financial transactions related to expenditures within the University College (UCOL), and the Office of Communications (COMM). This includes purchasing and reconciliation of charges for office supplies, event reservations and catering, training or professional development registrations and materials, and items ordered by COMM to support DUE activities.
Processes and reconciles P-Card transactions.
Processes purchase orders (POs), travel reimbursements for staff and students affiliated with our programming, facilitates account transfers to support programming, and assists with event planning, including room reservations (on and off campus) and catering for conferences, training, and student events.
Qualifications
EDUCATION
Required
High School diploma or equivalent (such as HSED or GED).
WORK EXPERIENCE
Required
2 years of relevant experience.

Strong verbal communication and listening skills.
Demonstrates excellent judgment and decision-making skills.
Ability to simultaneously handle multiple priorities.
