The department of Supply Chain has an exciting opportunity for a Full Time Supply Chain Services Specialist to work at UHealth. The Supply Chain Specialist reports to the executive leader for the department assigned. This role will be responsible for providing administrative support, record keeping, progress tracking, data analysis, managing executive-level presentations and special projects as assigned.





  • Supports senior leadership with administrative and clerical tasks.






  • Independently creates reports, presentations, project timelines, and documents for distribution to members of various departments or meetings on behalf of the executive.




  • Prioritizes meetings for executives to include the rescheduling and/or cancellation of other high-level meetings.




  • Plans meetings, including contacting participants, securing the venue, setting up rooms for audio-visual needs, and taking detailed minutes, as needed.




  • Ensures executive is prepared for meetings and/or presentations and is kept abreast of important information before any meetings/conference calls.




  • Uses independent judgment to respond on behalf of the executives, ensuring the confidential handling of information, correspondence, and communications, including incoming, outgoing, and electronic communications on behalf of executives.




  • Maintain and regularly update ongoing to-do list with assigned projects/tasks listed to ensure requests for action from Sr Leader are progressing or completed.






  • Adheres to University and unit-level policy and procedures and safeguards University assets.

Minimum Qualifications





  • High school diploma or equivalent Bachelor's degree preferred




  • Minimum 3 years of relevant experience






Knowledge, Skills, and Attitudes:




  • Ability to communicate effectively in both oral and written form.




  • Ability to maintain effective interpersonal relationships.




  • Ability to work independently and/or in a collaborative environment.




  • Ability to accurately prepare and maintain records, files, reports, and correspondence.




  • Ability to understand and follow instructions.




  • Skill in completing assignments accurately and with attention to detail.




  • Ability to process and handle confidential information with discretion.




  • Proficiency in computer software (i.e. Microsoft Office).







Any relevant education, certifications and/or work experience may be considered.




Department Specific Functions




  • Maintains ongoing to-do list to ensure requests for action have been completed, oversees status of action items, and updates the executives upon their completion.



  • Creates and maintains comprehensive project/initiative documentation, plans, and reports.

  • Completes special assignments requiring collection, organization, and analysis of data that may be


the basis for significant decisions.



  • Prepares necessary presentation materials for related meetings as assigned.

  • Serves as support for Chief Supply Chain Officer.
