About the job:

We are currently seeking a versatile and bilingual Receptionist for our growing law firm. Your role will be pivotal in creating a welcoming atmosphere for clients and efficiently managing front desk operations. Duties also include scheduling appointments for attorneys, handling inquiries, and managing mail and deliveries. You may also be required to assist with other duties.

Key Responsibilities:

  • Welcoming clients and visitors upon arrival at reception.
  • Answering, screening, and professionally forwarding phone calls, while effectively managing multiple lines as needed.
  • Maintain physical and electronic filing systems for case files and other essential documents, including data entry, updating records, and ensuring documents are stored securely and accessible when needed.
  • Assisting clients and visitors with the location of legal staff.
  • Scheduling and confirming appointments.
  • Observing business etiquette and maintaining a professional appearance.
  • Directing the flow of mail, faxes, and deliveries to reach the intended recipients.
  • Assist with the initial client intake processes by collecting client information and entering it into the firm's system.
  • Offer basic information to clients and visitors, including directions to the office or courtroom, general details about the firm's services, and preliminary information about legal processes.
  • Ordering and replenishing office supplies.

  • Keep track of office supplies and place orders as necessary, while also handling basic maintenance and troubleshooting of office equipment such as printers and fax machines.
  • Maintain strict confidentiality in all interactions.
  • Assisting with copying, scanning, faxing, emailing, occasional notetaking.
  • Preparing meeting facilities, and arranging refreshments, if required.
  • Tech Savvy is a MUST. Experience with Clio, Teams, Zoom.

Requirements:

  • High school diploma or GED.
  • Formal qualification in office administration, secretarial work, or related training.
  • Qualification in paralegal studies or similar preferred.
  • Prior experience as a legal receptionist and/or familiarity with legal terms will be advantageous.
  • Excellent written and verbal communication skills.
  • Extensive experience working with word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems.
  • Exceptional interpersonal and communication skills.
  • Fluent in both English and Spanish required.
  • Proficiency in Italian or Portuguese, both conversational and written, is highly desirable.
