Job Description:

The Executive Assistant (EA) will be responsible for overseeing assigned projects and activities, coordinating schedules/calendars, preparing for meetings, and managing travel and providing reporting as required. The ideal candidate will proactively function under tight deadlines in a fast-paced, highly demanding work environment.

This role requires that the candidate be adaptable, tech-savvy, and undeniably bright with the ability to absorb information like a sponge, anticipate needs, and overcome challenges in an instant. The goal is to maximize the efficiency of those they support. The Executive Assistant must be flexible, fluid, poised, and able to prioritize, multitask, and execute with flawless attention to detail.

Who You Are
  • 10+ Years of C-level executive support experience working at a rapidly growing technology-focused start-up is preferred.
  • Highest level of discretion pertaining to confidential and proprietary information.
  • Advanced proficiency in Google Suite of Applications.
  • Proven experience preparing information, presentations and decks for executives.
  • Ability to properly multi-task and prioritize work by considering its risk, importance, urgency, and potential business, organizational, or customer implications.
  • Highly professional, polished, reliable, and strong self-starter with a "can-do" attitude in addition to a flexible approach.
  • Independently driven and enthusiastic when working as part of a team.
  • High sense of urgency, drive, and willingness to do what it takes to get the job done.
  • Keen ability to follow instructions and understand those instructions with little or no follow-up.
  • Organizational wizard with meticulous attention to detail.
  • Problem solver who keeps pushing to get things done.
  • Flexible, with the ability to adjust seamlessly to changing priorities.
  • Comfortable operating behind the scenes and supporting others; thrives on anticipating needs before they are spoken.

What You'll Do

CEO Support
  • Assist with the management of the CEO's calendar.
  • Deeply understand the CEO's goals and protect his time accordingly.
  • Do whatever it takes to keep the CEO unblocked and distraction-free.
  • Work closely with the CEO and Chief of Staff to manage a variety of special projects and drive initiatives forward.
  • Manage travel arrangements for the CEO, and other team members as needed.
  • Assist the CEO with ad hoc projects as needed, including the coordination of offsites, company-wide events, and individual team activities.
  • Provide operational support for the CEO's initiatives.
  • Communicate directly on behalf of the CEO and executive team, with external and internal stakeholders.
  • Be a culture champion, helping to grow and maintain a continued positive, close-knit, and thriving company culture.

Administrative
  • Perform day-to-day tasks including, but not limited to: managing detailed business and personal calendars, meetings, logistics, handling communications, preparing materials and setting up company activities.
  • Ensure that the CEO is prepared for all meetings by organizing appropriate staff work such as read-ahead materials, talking points, and other relevant resources.
  • Prioritize requests and ensure deadlines are met.
  • Determine the importance of meeting requests in the context of the executives; priorities and schedule accordingly.
  • Perform research related to executive travel briefings, events planning, and other matters at the direction of the CEO.
  • Maintain accurate databases electronically to include address books, files, and contacts.
  • Lead and/or assist in managing company wide communication and activities.
  • Respond to inquiries, oversee incoming communications, and when appropriate take action with other C-level executives.
  • Prepare travel and expense reports on a timely basis.
  • Assist with personal items, including but not limited to ordering lunch, coordinating personal appointments.
  • Perform other related projects and duties as requested.

Required Education, Licenses, Certifications, and Experience
  • Prior work experience as a C-Level Executive Assistant
  • Bachelor's degree preferred
  • Technologically savvy
  • Google Office Suite and Microsoft Office

Work Environment
  • While performing the duties of this job, the employee regularly works in an office setting.
  • Candidate must be able to regularly lift and carry up to ten (10) pounds.
