Position Overview

The Executive Assistant will provide high level support to the CEO, North America and all Executive Directors of Radix to ensure company efficiency and productivity. The position requires full time availability with flexible hours as needed. The Executive Assistant will ensure smooth administrative functionalities, activities, and processes are met across multiple line of businesses and will serve as the main point of contact at the North American headquarters in Houston, Texas, with main responsibility of ensuring the office is managed and maintained efficiently. They will work alongside several departments and with employees from different countries.

To be successful at this position, the candidate must have strong communications skills, be results and detail oriented, highly organized and have the demonstrated ability to prioritize workflow effectively and efficiently.

Essential Job Responsibilities:
  • Managed multiple administrative projects as assigned by the CEO, North America
  • Assists Executive Directors related to office and administrative priorities.
  • Prioritizing emails and phone calls, scheduling meetings, and coordinating complex planning.
  • Perform standard general office duties such as ordering supplies, maintaining records management database systems, and any support with reports and documentation needs
  • Arranging accommodations, transportation, and meals for executives as needed
  • Guarantee office infrastructure is ready and set for team members daily for operations.
  • Collaborate effectively with other administrative staff and departments to ensure seamless operations and a positive working environment.
  • Manage and submit expense reports for Executive Directors
  • Select and manage service and equipment providers.
  • Coordinates operations of office headquarters including:
  • Reception (when needed)
  • Document Preparation and control/onboarding
  • Support with internal communications.
  • General office maintenance to improve costs and effectiveness.
  • Ensures that all administrative responsibilities are carried out with high level of integrity, professionalism, respect for others, in accordance with the organization's policies and applicable laws.
  • Proactively seek opportunities to provide additional value-added administrative services to optimize efficiency and office management
  • Any other administrative support duties as assigned within the scope of North America projects

Basic Qualifications
  • Knowledge of contemporary office practices and procedures
  • Excellent written and verbal communication.
  • Highly organized
  • Computer savvy-proficient in MSWord, MS Excel, MS PowerPoint, and MS Teams
  • Able to stand for extended period, lift up to 50lbs.

Preferred Qualifications
  • Bachelor's Degree
  • 5 years of experience in administrative role supporting c-suite executives is required (minimum)
